Purpose

You use this report to keep track of expiring and missing certificates and to send out e-mail reminders to purchasers responsible and to suppliers.

This report is designed for certificates created withthe certificate type function enabled in Customizing for SAP Supplier Lifecycle Management under Buy Side → Supplier Portfolio Management → Supplier Certificates → Enable Certificate Types. This function is available as of SAP Supplier Lifecycle Management 1.0 SP03.

For certificates created in SAP Supplier Lifecycle Management 1.0 SP02 or lower support packages, use the report E-Mail Reminders for Expiring Certificates.

Note:

Schedule this report on a daily basis.

Prerequisites

Reminder E-Mails to Suppliers

  • You have maintained the following activities in Customizing for SAP Supplier Lifecycle Management under Sell Side -> Supplier Data Maintenance-> Supplier Certificates -> Reminder Settings:

Note: You do not need to maintain this activity if you want to use the standard e-mail texts deliverd by SAP.

In these activities, you define texts for the e-mails to be sent (Define Alert Categories) and you define how many days before expiration you want to send reminders (Define Reminder Levels). When defining the reminder levels, you assign alert categories to them.
For example, you can have reminders using different mail texts depending on whether they are sent 10 or 5 days before the expiration of certificates.
  • To receive e-mail reminders, suppliers must have been assigned to one or more purchasing categories to which in turn one or more certificate types have been assigned. If related certificates are expiring or missing the suppliers will be notified.

Reminder E-Mails to Purchasers

  • You have maintained the following activities in Customizing for SAP Supplier Lifecyle Management under Buy Side -> Supplier Portfolio Management-> Supplier Certificates -> Reminder Settings:

For the purpose of these activities, see above ("Reminder E-Mails to Suppliers").
  • To receive e-mail reminders, purchasers must have been assigned as purchasers responsible to one or more purchasing categories to which in turn one or more certificate types have been assigned. If related certificates are missing, the purchasers will be notified.
Note:
If a purchaser is reponsible for several purchasing categories that have been assigned the same certificate types, he or she will receive one reminder per purchasing category.

Features

To send out reminders to suppliers, run this report on the sell side of SAP Supplier Lifecycle Management.

To send out reminders to purchasers, run this report on the buy side of SAP Supplier Lifecycle Management.

Note:

Only certificates approved on the buy side of SAP Supplier Lifecycle Management are considered as valid certificates by this report. Therefore, before a certificate has been approved on the buy side, a supplier or a purchaser might receive a reminder e-mail although the supplier has already uploaded a valid certificate.

Selection

The report sends reminders for all expired certificates.

By default, the checkbox Only Mandatory Certificates is selected and the checkbox Include Missing Certificates is deselected.

To send e-mails also for expired certificates that have not been marked as "mandatory", deselect the checkbox Only Mandatory Certificates .

To send e-mails not only for expired certificates, but also for certificates that have never been provided by the suppliers, select the checkbox Include Missing Certificates.

Since in the last case the system cannot identify an expiration date, it cannot identify a reminder level either, and thus cannot determine an alert category to be used. Therefore, you need to manually assign an alert category that you have defined in Customizing.

Output

You can find an error log for the sending of reminder e-mails in transaction Analyse Application Log(SLG1). Enter the object Certificate Management (/SRMSMC/CRT).
