Purpose

You use the report Trigger Reminders for Evaluation Responsesto automatically send out e–mails to appraisers, asking them to submit pending evaluation responses.

Recommendation

Schedule the report to run daily in batch mode.

Integration

Prerequisites

• Evaluation Responses

• SAP delivers standard alert categories, that is, reminder texts for the reminder e-mails. If you want to use your own texts, you have to define alert categories in Customizing for Supplier and Category Management under Supplier Evaluation → Basic Settings for Supplier Evaluation → Reminder Settings → Define Alert Categories

• You have defined how many days before and after the response deadline you want to send reminders in Customizing for Supplier and Category Management under Supplier Evaluation → Basic Settings for Supplier Evaluation → Reminder Settings → Define Reminder Levels.

In this Customizing activity, you can define different levels of reminders, depending on the number of days until the response deadline, and assign alert categories to them.

Evaluation Responses

The input fields for all parameters are filled by default. You can change them according to your requirements.

Evaluation Process

You can decide whether you would like to see the results only for the event-driven evaluation, only for the group-based evaluation, or for both processes.

Reference Date

To retrieve pending responses, the days specified in Customizing for SAP Supplier and Category Management under Supplier Evaluation → Basic Settings for Supplier Evaluation → Reminder Settings → Define Reminder Levelsare added to or subtracted from the reference date.

Reminder Text Language

You determine which language is to be used for the e-mail text of the reminders. You can either send the e-mail in the standard language of each appraiser user, or you can set a global language that is to be used for all reminders.

Recommendation

To avoid sending out reminders that have no translation, set a global language for all reminders.

Simulation

You can use this feature if you start the report manually to gain an overview of pending evaluation responses. You can specify that no e-mails are to be sent out, or you can enter the person to whom the e-mails are to be sent instead.
