Purpose

This report sends periodic reminder e-mails to the learners, learning managers and company administrators. This is a part of many scenarios in the SAP Learning Solution, option for the extended learning community.

Integration

The report is integrated by with the BAdI /XLSO/SEND_PERIODIC_MAIL and its implementations for the various scenarios.

To setup correspondence using periodic e-mails, you can schedule a job via transaction SM37.

Prerequisites

The report reads and executes all implementations of the BAdI/XLSO/SEND_PERIODIC_MAIL. The following standard implementations are available:

  • Periodic Reminder for Recommendations - /XLSO/IM_RECOMMENDATIONS_MAIL
  • Periodic Reminder for Mandatory Trainings - /XLSO/IM_MANDT_TRAINING_MAIL
  • Periodic Reminder for Expiry of qualifications - /XLSO/IM_EXPIRE_MANDT_QUALIF
  • Periodic Reminder for Start WBT and complete WBT - /XLSO/IM_WEBBASED_COURSE_START
  • Course Start Reminder - /XLSO/IM_COURSE_START_MAIL
  • Periodic Reminder for Evaluation after course completion -/XLSO/IM_EVAL_LINK
  • Reminder for Replace learners in N:N Bookings - /XLSO/IM_NN_BOOKING

You must define the scenario in the Customizing activity Maintain Scenario for Periodic Mail BADI Implementation.

Features

Selection

You can select the scenario that you want to run. If you do not provide any selection, the system reads all the scenarios.

Standard Variants

Output

Based on the selection criteria, the system sends periodic reminders to the eligible participants.

Activities

To execute the report as a background job:

  1. Go to transaction SM36.
  2. Give a Job Name.
  3. Select Job Class as B.
  4. Select an Exec. Target that is mostly set to the current system.
  5. Select Step and enter ABAP Program Name as /XLSO/SEND_PERIODIC_MAIL.
  6. Select Start condition.
  7. Select Immediate, Date/Time. Select the Periodic job indicator.
  8. Select Period Values, select Daily and save.

Example

In case of Recommendations, if we specify the frequency to be 5 days, then this periodic e-mail is sent out every 5 days.

In case of Mandatory Trainings, if we specify the frequency to be 5 days, then this periodic e-mail is sent out every 5 days. A summary e-mail, listing all the mandatory training reminders sent to learners, is sent to the learning managers (LM) based on the check specified in the customer master.

In case of Expiry of Qualifications, if we set the trigger condition to be 5 days, an e-mail reminder is sent to the learner specifying that the current qualification will expire in 5 days.

In case of Start WBT and Complete WBT, based on the booking date and frequency, the reminder is sent as long as the learner completes the course. If the frequency is 5 days and the booking date is 11.11.2011, and if the learner has not accessed the course, the first reminder is sent on 16.11.2011. A reminder is not sent if the learner has accessed the course at least once in the specified frequency. The reminders are no longer sent once the learner confirms that the course is completed.

In case of Course Start, if the trigger/exit condition is set as 5 Days, a reminder e-mail is sent to the learners 5 days before the start of the course.

In case of Evaluation, if the frequency is 5 days and the trigger/exit condition is 30 days, the reminder for the evaluation is sent every 5 days after the course completion for 30 days.

In case of N:N Bookings, if the trigger/exit condition is set as 5 days, a reminder e-mail is sent to the LMs for replacing the learners 5 days before the start of the course. A summary e-mail, listing the entire N:N booking reminders sent to the LMs, is sent to the company administrator (CA) based on the check specified in the customer master.
