Archiving Standards

Doreen is right - the business auditors should guide you here. However
there's archiving and there's archiving. Std archiving in R/3 without any
fancy add ons simply moves the records out of the main database and parks
them to the side to make the live database smaller, it moves the data out
but doesn't delete it - you can't move it back in but in many cases it is
accessible as a view only in R/3 without any drill down. The debate will be
which bits of data to archive (they come in groups as part of an archive
group eg Material Documents - MM_MATBEL) and you can only archive ranges
where there are no open linked documents, and how long do you need to keep
it in the archive. For an example these are the fields in Material
Documents:

Material document number MKPF-MBLNR
Material document year MKPF-MJAHR
Posting date MKPF-BUDAT
User name MKPF-USNAM
Plant MSEG-WERKS
Storage location MSEG-LGORT
Movement type MSEG-BWART
Item number MSEG-ZEILE
Material number MSEG-MATNR
Material description MAKT-MAKTX
Quantity MSEG-ERFMG
UoM MSEG-ERFME
Batch MSEG-CHARG
Reason code MSEG-GRUND

Make sure you implement DART before you archive anything!

This may be a bit off topic but I was wondering what the industry
standards
are for archiving? How long should sales orders, invoices, HR/Payroll
Documents, FICO documents, Manufacturing documents/records, etc.... be
kept?
