New Payoff Function

Use

In the Workplace for Business Operations, you can use the payoff function to process partial and full payoffs for mortgage loan positions during the fixed condition period. You can only use the payoff function for loans given that are managed on the basis of customer accounts, and to which the planned principle applies. The function does not support batch input and cannot be used for product types for which price gain determination is set to active. For all other loans, you must use the existing Unscheduled repayment function.

Payoff processing covers the relevant financial mathematical and accounting functions and incorporates integrated status management (examples of possible statuses are "entered", "activated" or "posted"). The payoff function is also linked to the release procedure.

Control

  • You use the Create/Save function to create a new payoff business operation with one capital payoff. This does not affect the loan cash flow.
  • If a payoff has the status "entered", you can edit it using the Change function.
  • If you choose Display, the system displays the payoff data.
  • If the release procedure is set to active, the function For release puts the payoff business operation into the Business Workplace inbox to be released. You can then save, activate or post the payoff business operation directly using the release function.
  • When you choose Activate, the system includes all the planned flows for the payoff business operation in the cash flow.
  • The Post function posts all the flows for the payoff business operation together.
  • You can delete a payoff business operation that has been entered or activated. If a payoff has already been posted, you can reverse the posting using a separate reversal function in Loans Management.
  • A user exit is available for generating tabs with customer-specific input fields.

Financial mathematical functions

  • You can perform a repayment settlement as at the payoff due date for the part of the repayment that has not yet been settled.
  • In the case of a partial payoff, you can determine whether the payoff results in a change in the repayment arrangements.
  • As part of payoff processing you can generate a partial waiver for the disbursement obligation still available.
  • If condition-based planned records are due for payment before the payoff date, you can "defer" them until the payment date of the full payoff. In this case, the flow amounts remain the same, but the payment dates of these flows are shifted to the payment date of the full payoff.
  • You can control the behavior of the cash flow using an indicator that determines the cut-off date for cash flow calculations and how due dates are shifted.

Posting functions

  • The payoff function manages all the relevant cash flows internally.
  • User exits are available for integrating your own calculations in the receivables list. They can be used, for example, to calculate the early repayment penalty or the discount reimbursement.
  • You can post other flows relating to the payoff in one step together with the payoff. These can be flows entered manually, such as processing charges, or derived flows generated automatically, such as the early repayment penalty and discount reimbursement.
  • The Open items tab displays the open items for a customer, which can be included in the receivables list. The overdue items and credit items are listed separately.

Correspondence

  • You can generate appropriate correspondence for the payoff according to language and partner role.

Effects on Data Transfer

No special data transfer programs are available.

Effects on Customizing

In the IMG activity Define Flow Types you define the payoff flow types. You must define at least one flow type for full and partial payoff, and assign it to the flow category "SERP: Payoff" and the calculation category "SS: Outflow (generic)". The relevant activity category is "0048: Payoff: Debit".

You also have to define the other flow types relevant for payoffs, such as charges. For the flow types to be used for clearing credit items, such as discount reimbursement, the value of the IP clearg indicator must be "09: Reimbursement".

Note:
If, as part of a payoff, you make a reimbursement to the borrower or to an alternative payee, you have to clear the payoff using the payment postprocessing function. In order to make refunds with this function, you must assign the flow types for clearing credit items to the relevant flow type groups in the IMG activity Assign Flow Types to Flow Type Groups.

In the IMG activity Assign Offsetting Flow, you must assign the relevant offsetting flows to the payoff flow types.

In the IMG activity Define Account Determination, you define account determination for the respective flow types.

Recommendation:
In the IMG activity Define Condition Type, SAP recommends that you define a separate condition type for partial waivers made in connection with a payoff.

In the IMG activity Define Condition Groups → Assign Condition Types to Condition Groups, define the condition type required for partial waivers made in connection with a payoff.

In the IMG activity Define Condition Groups → Assign Flow Types to Cond. Groups Per Application, assign the flow types that can be used to a condition group. You make the assignment for an application subfunction that is relevant for payoffs.

  • Enter the flow type(s) for full and partial repayment under the application function "400: Payoff"
  • In order to include open items in the receivables list, you must enter all the flow types relevant for open items (such as debit position flow types for interest, overpayments and advance payments) under the application function "402: Payoff: Open items".
  • Enter the flow types for costs and charges (such as trustee and processing charges) under the application function "401: Payoff: Other flows".
  • In fields 1 and 2 of the receivables list in the application, you can enter amounts manually or have them determined via a user exit:
  • If you want the amount for field 1 to be entered manually (for example, an early repayment penalty), only define one flow type under the application function "403: Payoff: Customer exit field 1". If you also want to have manual entry for field 2 (for example, a discount reimbursement), only enter one flow type under the application function "404: Payoff: Customer exit field 2". The system then posts the amounts entered manually in these fields together with the payoff using the corresponding flow types.

  • If you want the amounts to be determined via a user exit, you can define several flow types for an application function. The flow types for an early repayment penalty, for example, could be entered under the application function "403: Payoff: Customer exit field 1". In the same way, the flow types for a discount reimbursement could be entered under the application function "404: Payoff: Customer exit field 2". This controls which flow types supplied by the user exit are totaled in the corresponding field in the receivables list.

In the IMG activity Define Template, you must define certain payoff templates (for example, for a full payoff or a partial payoff), which are then available in the application when you create a payoff. You define the templates for each company code and product type in conjunction with a payoff flow type.

In the IMG activity Define General Control Data, you must activate various fields for each company code and product type. For example, if you set the Deferral active indicator, the field for the Deferral from date is ready for input in the application. If you want to have the fields 1-4 determined via a user exit (such as the amount for a discount reimbursement), do not select these fields here.

In the IMG activity Define Cash Flow Behavior, you specify for each condition group and condition type whether the end of the fixed period should be brought forward in the cash flow simulation for a full payoff, and how due dates should be shifted.

In the IMG activity Define Condition Types, you define the condition type for a partial waiver and assign it to the flow category "KAMI: Capital reduction".

In the IMG activity Define Payoff Reasons, you can define the possible payoff reasons on the part of the payer. Under Define Rejection Reasons, you can define the possible reasons for rejecting the payoff on the part of the lender. In the IMG activity Define Reasons for Notice you specify the possible reasons on the part of the lender for giving notice on a loan. These reasons then appear as possible entries on the Administration data tab in the application.

If you want to use the Correspondence function for payoff processing, you should replace the flow types relevant for payoff (such as discount reimbursement) with external flow types. You enter the texts for external flow types in the IMG activity Define External Flow Types. You should choose texts that will be meaningful to the lender receiving the correspondence. In the IMG activity Assign External Flow Type to Report Category, you assign the external flow types to the report category "02: External account statement: Payoff letter". Under Assign External Flow Type to (Internal) Flow Type, you replace the (internal) flow types relevant for payoff with external flow types. You do this for each company code for the report category "02: External account statement: Payoff letter".

Note:
In the IMG activity Define Documents, you must leave the Report categ. field on the detail screen empty for letters relevant for payoff processing. If you want the system to archive the letter automatically in file management, you must specify a Document type.

In the IMG activity Define Company Code-Specific Texts you can define posting texts for each company code and application function. These texts appear as possible entries in the Business operation header section of the screen in the application, and are transferred to the FI document header when you post the business operation.

In the IMG activity Default Values for Document Item Text, you can define document item texts for the company code, product type and application function in conjunction with a flow type. This text then appears on the Details tab in the application, but can be changed if necessary. When you post the business operation, the text is transferred to the FI document.

The settings in the IMG activity Define Parameters for Business Operations have no effect on the payoff function.

In the IMG activity Exclude Flow Types from Dunning Run you can exclude certain flow types from the dunning run, in other words, these flows are not selected by the dunning run. You can also exclude certain flows from the dunning interest calculation.

Note:
If you want to exclude a whole loan contract from the dunning run, you can select the No dunning field in the IMG activity Define Template. This setting appears as a default value on the Administration data tab, but can be changed if necessary.
If you want to exclude other flows from the dunning run (that is, costs and charges entered manually on the Other flows tab, such as processing and trustee charges) you can set a dunning block for the company code, product type and application function in conjunction with the flow type in the IMG activity Default Values for Dunning Block and Payment Method. If you also define a payment method for other flows in this IMG activity, you still have the option of changing the payment method on the detail screen in the application.

To ensure that the payoff documents are displayed by the reversal function, you must define the activity category "48: Payoff: Debit" for each company code and product type in the IMG activity Assign Activity Category to Group Reversal Transaction.

In the IMG activity Maintain Active Indicators, you can activate the release object "REPAYMENT". In order to use the release workflow, you have to enter the release status parameters for the release object "REPAYMENT" in the IMG activity Define Release Status Parameters. The Limit amount in this view corresponds to the payoff amount. In the IMG activity Adjust/Copy Workflow Template you enhance the responsibilities in the standard role.

You also have to maintain the authorization data for payoff processing and generate the profiles using transaction PFCG.
