In this IMG activity you make the settings required for document archiving.

For document archiving, the system generates an archiving object for each accounting system. The archiving administration system provides you with the following functions for this archiving object:

  • Write
  • Delete
  • Administration.

Before you can make the settings for document archiving, you must have already performed and activated the following IMG activities:

  • You must have already defined settings for the general ledgers. You can find these IMG activities under General Ledger > Basic Settings and General Ledger > Document.
  • You must have already defined settings in Profitability Management. You can find these IMG activities under General Ledger > Profitability Management.

After you have made the changes in a component (General Ledger or Profitability Management) or in the data basis (registration of new characteristics), you have to check the information structures and, where applicable, make additions to them.

  1. Decide which selection characteristics you want to use. All characteristics in the document header can be used. Normally, posting period or posting period and fiscal year are chosen.
  2. Save your selection and activate it. The system generates the archiving object including write and deletion programs, as well as field catalogs for the archive information system and information structures (depending on the field catalog).
In the generated archiving object, you normally do not have to make any further settings. We recommend that you do not change the generated field catalogs. The archiving object contains all journals, depending however on the Customizing settings made for these.
  1. To read from the archive, you have to maintain the information structures accordingly. You can activate the information structure either using the function Environment -> Create Structure or automatically by running the deletion program. The default setting is that you start the deletion program manually.

You choose the selection characteristics posting period and fiscal year. You then save your selection and activate it. When you activate your selection, the system generates the archiving object, including write and deletion programs, field catalogs for the archive information system and information structures. In archive administration, you can perform the same functions for your archiving object as for standard archiving objects.
