Purpose

You use this program to convert all external addresses that you had added to alert recipients in SAP Application Framework to external contacts.

Other than external addresses, external contacts are dedicated objects that you can maintain and store independently from the recipients. External contacts are available from SAP NetWeaver 7.52 SP01 or from SAP Application Interface Framework 4.0. You use this program once when upgrading to these releases.

Integration

  • You had added external addresses to recipients and, from now on, you assign external contacts to recipients in Customizing under System Configuration -> Recipients -> Assign Recipients.

Prerequisites

There are external addresses available, that is, there are entries in the /AIF/V_ALRT_EXT table in the VALUE (Communication Data) field.

To not clear the external addresses table too early by accident, please carefully read the instructions underSelection.

Features

The conversion performs the following steps:

  1. Read all external addresses from table /AIF/T_ALRT_EXT.
  2. Identify duplicates based on the Communication field.
  3. Create new unique external contacts in table /AIF/EXT_CONTACT.
The field Name of the External Contact gets filled with the content of the field Name of the external address. If Name is empty, Name of the External Contact gets filled with the content of External Address Number and Communication Method. The content of the Communication field is moved, depending on the Communication Method, to the corresponding fields of the external contact.
  1. Add a reference to the new external contact in table /AIF/T_ALRT_EXT.

Selection

  • Test Run
If the test mode is selected, the program goes through all steps but the database is not updated in the end.
  • Delete External Addresses
If selected, the external address data are deleted after the conversion.

You cannot undo this deletion and you cannot re-run this program after the old external addresses were deleted.

To prevent the loss of data, we strongly recommend that you complete the conversion in the sequence given:

  1. Start the program with Test Run and without Delete External Addresses selected.
  2. Check the protocol for issues, for example, missing authorizations, and fix the issues.
  3. Start the program again without Test Run and without Delete External Addresses selected.
  4. Check the newly created external contacts in Define External Contacts.
  5. Delete the new external contacts manually. (There is no duplicate check and overwrite mechanism in place. The next run would double the new external contacts.)
  6. Start the program again without test mode and with Delete External Addresses selected.
