Purpose

You can use this report to perform the following actions:

  • Select and display start of retention time (SoRT) records.
  • Select and display historical start of retention time (SoRT) records that were manually deleted.

Selection

  1. From the Processing Typedropdown list, select one of the following options:
  • Monitor SoRT Data: Selects and displays SoRT records from the SORT Details of Business Partners for each Application(BUTSORT) table.

  • Display Information of Deleted SoRT Data: Selects and displays historical information about deleted SoRT records from the Changed SoRT Records with Reasons(BUTSORT_CD) table.

  1. Enter the business partner details in the Business Partnerfield.
  2. Enter the start of retention date details in the SoRT Detailsgroup box.
  3. Specify the number of records to be selected using the Maximum No. of Hitsfield. If you do not specify a number, the system selects all records matching your selection criteria. This might result in a very long process. By default, the system selects 500 records.

Standard Variants

Output

The system fetches the records from the corresponding tables and displays the following data output in an ALV format:

  • Partner - Displays the selected master data.
  • Application Name- Displays the corresponding SAP component, which helps you determine the SAP application component that is responsible for the record that you have selected.
  • PurpCStats – Indicates the purpose completed status. It can have the following statuses:
  • 1 – No Business exists

  • 2 – Ongoing Business

  • 3 – Business Completed

In case you have selected the processing type Monitor SoRT Data, the system displays the following additional information:

  • Prev. SoRT Deleted – Indicates the deleted status of the SoRT with the same key. If the value is not 0, then it means that the SoRT has already been deleted. Select this field to display the historical records.
  • B/U – A lock symbol indicates that the master data is blocked.
  • Action – Indicates whether you have selected the record for deletion or not. The trashcan icon in this field indicates that you have selected the record for deletion, when saving your changes the system deletes the record and a historical record will be created.

In case you have selected Display information of Deleted SoRT data, then the system displays the details of the deleted records as well.

Activities

To access this report, on the SAP Easy Accessscreen choose Cross-Application Components-> Data Protection-> Blocking/ Unblocking of Data -> Business Partner Master Data > Monitor Start of Retention Time (SoRT).
