Purpose

You use this app in General Ledger Accounting to perform closing and opening entries for a change in fiscal year.

This application creates the following postings:

  • Postings for year-end closing of the profit and loss statements for the fiscal year result
  • Postings for closing and opening the balance sheet accounts for the new fiscal year

In this app, the postings are created in real time using the interface to Accounting (with reference transaction ACDOCA).

The totals records resulting from the closing and opening entries are updated with record type 5 to be able to distinguish them in reporting from totals records from operational postings (record type 0). The postings are made using the account assignments in the totals record table.

Note
Validation is not performed for transferred account assignment characteristics.

The local versions correspond to the legal requirements of those countries. Use the system variant SAP&* appropriate to the desired local version of your company code.

When creating your own report variants, always use the respective system variant SAP&* as a template. Parameters that are set in the background in these system variants influence how the report performs postings. To ensure that the posting logic meets the legal requirements for the respective country, you should always start the report with the respective system variant or with a modified copy.

Note
You can also use the app Schedule Post Closing and Opening Balances. In this app, you need to select the correct country-specific/region-specific job template instead of the variant. Like with the variant, the template ensures that the correct parameters are set in the background.

Prerequisites

You must met the following prerequisites before you can run this app:

  • The accounting reconciliation of the last fiscal year has been printed out.
  • The posting periods for posting the year-end closing and for opening the current fiscal year are open.
  • The last transaction for the balance sheet has been run.
  • Apart from the special periods for closing entries, the posting periods of the last fiscal year are closed.
  • The accounting reconciliation of the current fiscal year has been printed out and the totals have been validated.
  • You have performed the postings for your company code and for the non-leading ledgers for the year for which you post your closing entries.
  • You have run the application Carry Forward Balances.

Features

Year-end closing entries for profit and loss statements

The app saves the annual net profit or loss as the comparison value for closing the balance sheet accounts.

Since the postings are made using the reference transaction ACDOCA, you can post G/L accounts directly, for which the Post Automatically Only indicator is selected. You cannot enter any other characteristics or account assignments.

Before running the app in an update run, ensure the following:

  • No other postings are made in your system at the same time.
  • For the postings with this app, you use a separate document type with its own document number range. This enables you to clearly identify this type of posting in reporting (document journal).

Selection

To run this app:

  1. Select the SAP variant required for the desired local version of your company code. You can also create your own copy of this variant by using the SAP variant as a template.
If you use the app Schedule Post Closing and Opening Balances, select the country-specific/region-specific job template, for example, Closing/Opening Postings at Year End (Portugal).
  1. Enter all necessary data on the selection screen. For each run, select either the balance sheet accounts or the accounts for the profit and loss statement.

You can also perform a test run for this app. In this case, the app displays a log to review the data. This log contains the details for each account type with the corresponding amount.

If you perform an update run for this app (meaning that you do not select the Test Run checkbox), the system shows a list of postings made.
