HHKCTXF0 - Notification by Employer of Employee Who Is to Cease to Be Employed

Purpose

You use this report to generate the Notification by an Employer of an Employee Who Is About to Cease to Be Employed (IR56F) form one month prior to the date of termination. Also, this report can generate one or more XML files which can be uploaded or submitted through the Employer’s Return e-Filing Services (ER e-Filing Services) if the tax year ending on March 31 is equal to or greater than 2019.

Note that you need to run the report again after the successful payroll run of the payroll period in which the employee is terminated. The system compares the two form instances and determines if an Amended IR56F is necessary.

Prerequisites

You have made the relevant settings in Customizing Modify Default Settings for Tax Reports HK for IR56F form.

Selection

Payroll period

  • Payroll area- You must enter one of the payroll areas for Hong Kong.

General IR56F information

  • Print details
Enter a Printer name, select whether to Print preview forms and Reprint issued IR56 forms.
Note: If you've set the return value for the printer name in feature 27IRF, the name will display as default here. But you can still specify a different printer name which will overwrite the default one.
  • Tax Reporting Group
The tax reporting group of an employee is essential to determine the tax information in the IR56F form.
  • Tax Year Ending on March 31
You must enter the number of the tax year when the selected employees cease to be employed.
  • Name of signer
Specify the name of Authorized Signer who is going to submit the data file prepared through his or her eTAX account or the one who is required to sign the paper Control List.
  • Designation
Specify thetitle of the person that approves and signs the IR56 tax forms.
Note: If you've set the return value for the designation name in feature 27IRF, the name will display as default here. But you can still specify a different designation name which will overwrite the default one.
  • Payroll Schema for Projection
You must enter the payroll schema for Hong Kong, for example, the Hong Kong Payroll Accounting Scheme for HHKCALC0 (HK00) schema.
  • To designate contact
Specify the contact person for IR56F form. For more information, see the documentation for To designate contact.
  • Previous Submission Date
Specify the date when the form was submitted previously. For more information, see the documentation for Previous Submission Date.

Output in XML Format

  • Select whether to generate an XML file and save it to the local file.

Download Separate PDF Form

  • Download Separate PDF Form
You can choose whether to download a separate PDF form for each selected employee and save it to a local file path. If you select the checkbox, a separate PDF form for each selected employee is downloaded and saved to the local path that you entered on the selection screen.
  • The default file name for each selected employee follows this pattern: __.pdf

  • You can use the Customize File Namebutton to define the name format for the PDF files. If only one field is selected, the file name contains this field only. If several fields are selected, the file name is the concatenation of these fields separated by '_'.

Standard Variants

Output

The report processes employee data and creates the corresponding IR56F forms. The report sorts the employees by personnel number. For employees with the same name and tax reporting group, the report uses their personnel number as the last sort key to make sure the sequence of the forms is consistent during different report instances.

If the IR56F form is created for an employee for the first time, the system stores the form in the HZ cluster. The HZ cluster keeps track of the IR56F forms and the form data, such as remuneration amounts, tax rental, overseas travel receipts, and tax addresses.

When an IR56F form for the employee already exists in the HZ cluster, the system compares the newly generated form with the one stored in the HZ cluster:

  • If there is no difference between the two forms, the system does not save the new form, because an identical IR56F exists and has already been submitted to the Hong Kong Inland Revenue Ordinance (IRD). After the report run, the system generates an error message for this employee and opens a dialog box displaying details of the error, including the relevant personnel number and the reason why the creation of the IR56F form is discontinued.
  • If there is a difference between the two forms, the system creates an amended IR56F form and updates the new results in the HZ cluster. The amended form has Amended IR56F displayed in the first line of the form heading.

If you select Generate XML Filecheckbox on the selection screen, the report will generate an XML file which can be uploaded or submitted through the ER e-Filing Services. The maximum number of IR56F records that can be uploaded or submitted in each transaction is 800. If the number of IR56F records exceeds 800, multiple XML data files will be generated. For more information, see SAP Note 2791103.

When you exit the screen of the generated PDF forms, you can choose whether to download the content of all PDF forms into a local Excel file. The Excel file provides a convenient way to check the data accuracy of PDF forms so that you don't need to review the content in each PDF form. To use this feature, you must specify the return value GXin Customizing Modify Default Settings for Tax Reports HK for IR56F.

Activities

To access this report, on the SAP Easy Accessscreen, choose Human Resources → Payroll → Asia/Pacific → Hong Kong → Subsequent Activities → Period-independent → Country Reporting → IR56F Report.
