Purpose

According to relevant laws in Hong Kong, a company must declare the remuneration paid to persons other than employees at the end of each tax year. Examples are actors or writers who should be paid for their service to the company.

You use this report to generate the Notification of Remuneration Paid to Persons Other than Employees (IR56M) form for the tax year, which ends on March 31. You need to generate the form and submit it to Hong Kong Inland Revenue Ordinance (IRD) at the end of each tax year.

Integration

Prerequisites

  • You have specified in the General Tax (0345) infotype that the person is not an employee.
  • You have run payroll for the person in the system.

Features

In the year-end closing process, you create the IR56M form to declare the remuneration that the company has paid to a non-employee during the tax year.

Selection

In addition to the standard selection criteria, you can use the following criteria to select data for the form:

  • Personnel Number
You can enter one or more personnel numbers. One IR56M form will be generated for each person.
  • Tax year ending on March 31
Enter the tax year for which you want to generate the form.
  • Designation
Enter the title of the manager that approves and signs the form.
  • Test run
If you select this checkbox, the system allows you to have a preview of the IR56M form without storing the data.

Standard Variants

Output

The report processes the data and generates the following corresponding IR56M forms. The report sorts the employees by tax reporting group, surname, and first name. For employees with the same name and tax reporting group, the report uses their personnel numbers as the last sort key to make sure the sequence of the forms is consistent during different report instances.

  • If the IR56M form is created for an employee for the first time, the system stores the form in the HZ cluster. The HZ cluster keeps track of the IR56M forms and the form data, such as remuneration amounts, withheld amount, and tax addresses.
  • When an IR56M form for the employee already exists in the HZ cluster, the system compares the newly generated form with the one stored in the HZ cluster:
  • If there is no difference between the two forms, the system does not save the new form, because an identical IR56M exists and has already been submitted to the Hong Kong Inland Revenue Ordinance (IRD). After the report run, the system generates an error message for this employee and opens a dialog box displaying details of the error, including the relevant personnel number and the reason why the creation of the IR56M form is discontinued.

  • If there is a difference between the two forms, the system creates an amended IR56M form and updates the new results in the HZ cluster. The amended form has the word Replacement displayed in the first line of the form heading.

Activities

To access this report, on the SAP Easy Access screen, choose Human Resources -> Payroll -> Asia/Pacific -> Hong Kong -> Subsequent Activities -> Annual -> Country Reporting -> IR56M Report.
