Title

Provident Fund Reporting for RPFC (HINCEPF0)

Purpose

This function enables you to display and print reports that provide detailed information on the employee and employer contributions to the trust and lists the employees who would begin contributing towards Provident Fund (PF) or discontinue to do so.

The data can be broken down according to user-defined search criteria and grouped into key data that is displayed in the following reports:

  • Form 5 - Provides details of employees joining the Trust in the month
  • Form 10 - Provides details of employees leaving the Trust in the month
  • Form 12A - Combined statement of employee and employer contributions to the Fund in the month
  • ECR - Provides Provident Fund and Pension details of the employee and the employer for the specified month. Along with these, this report also provides details of employees joining or leaving the Trust in the specified month.
  • ECR 2.0 - Provides Provident Fund and Pension details of the employee and the employer for the specified month
  • KYC (Know Your Customer for UAN) - Provides details of employee's which are required for EPFO

These reports are submitted to the Regional Provident Fund Commissioner's office (RPFC) in the statutory format through which the company reports the employee and employer's contribution details for provident fund.

Integration

Prerequisites

  • You have to maintain the following infotypes:
  • Provident Fund Contribution(0587)

  • Personal IDs (0185) Universal Account Number (08) subtype

  • You have run the payroll for your employees and have payroll results (Note that this is not applicable for KYC)

Features

The report (Form 5, Form 10, Form 12A, ECR, ECR 2.0 and KYC) generates detailed provident fund contribution details, employees who join the fund or discontinue contributing depending on the form selected.

The report, on the KYC output screen, also provides the UAN (Universal Account Number) along with the details of employee as required by the employer while uploading the details in EPFO website.

Provident Fund Reporting

From within this report you can trigger six separate reports:

  • Form 5 for PF

The report displays the list of new employees who qualify to contribute from the current payroll period, and displays the following data:

  • Employee number

  • Employee's provident fund number

  • Employee name

  • Employee's date of birth

  • Employee's date of joining the PF fund

  • Form 10 for PF

The report displays the list of employees who discontinue contributing to PF from the current payroll period, and displays the following data:

  • Employee number

  • Employee's provident fund number

  • Employee name

  • Date of leaving

  • Reason for leaving

  • Form 12A for PF

The report displays the employee and employer contribution details with the break down of the amounts and percentages contributed to Provident Fund, PF administration, pension fund, Employee Deposit Linked Insurance (EDLI) and EDLI administration and displays the following data:

  • Employee number

  • Employee's provident fund number

  • PF rate

  • Employee's PF contribution amount

  • Employer's PF contribution amount

  • PF administration charges

  • Employer's pension contribution

  • Employer's EDLI contribution

  • EDLI administration charges

  • ECR
This report displays Provident Fund and Pension details of the employee and the employer for the specified month. Along with these, this report also displays details of employees joining or leaving the Trust in the specified month. The following fields are displayed on the ALV output screen:
  • Employee Number

  • Employee Name

  • EPF Wages - Indicates the basis that the system uses to calculate an employee's contribution towards provident fund.

  • EPS Wages- Indicates the basis that the system uses to calculate the employer's contribution towards pension.

  • EPF Contribution Due - Indicates the amount that the employee is due to contribute towards provident fund.

  • EPF Contribution Remitted- Indicates the amount that the employee has remitted towards provident fund for the specified month.

  • EPS Contribution Due - Indicates the amount that the employer is due to contribute towards pension.

  • EPS Contribution Remitted - Indicates the amount that the employer has remitted towards pension for the specified month.

  • Difference EPF & EPS Contribution Due - Indicates the difference between the employer's contribution to PF and pension, that is due for payment for the specified month.

  • Difference EPF & EPS Contribution Remitted- Indicates the difference between the employer's contribution to PF and pension, already paid for the specified month.

  • NCP Days - Indicates the number of days in the month for which wages are not due.

  • Refund of Advances - Indicates the amount that is repaid toward PF incase, the employee had opted for partial withdrawal of funds. The refund is made by the employer on behalf of the employee.

  • EPF Wages Arrears - Indicates the unpaid wages for PF from the previous months.

  • Employee EPF Arrears - Indicates the contributions not made towards employee PF in previous months.

  • Employer EPF Arrears - Indicates the contributions not made towards employer PF in previous months.

  • Employer EPS Arrears - Indicates the contributions not made towards employer pension in previous months.

  • Father/Husband Name

  • Father/Husband Flag - Indicates whether the name specified in the previous field is that of the employee's father or husband. This field can have the values F (father) or H (husband).

  • Date of Birth

  • Gender

  • Date of Joining EPF - Indicates the date on which the employee joined the provident fund scheme.

  • Date of Joining EPS - Indicates the date on which the employee joined the pension scheme.

  • Date of Leaving EPF - Indicates the date on which the employee left the provident fund scheme.

  • Date of Leaving EPS - Indicates the date on which the employee joined the pension scheme.

  • Reason for Leaving - Indicates the reason due to which the employee left the provident fund scheme.

  • ECR 2.0
This report displays Provident Fund and Pension details of the employee and the employer for the specified month. The following fields are displayed on the ALV output screen:
  • Emp No. - Employee number

  • UAN - Universal Account Number

  • Emp Name - Employee name

  • Gross Wages - Employee's total earnings for the month

  • EPF Wages - Basis that the system uses to calculate an employee's contribution towards provident fund

  • EPS Wages - Basis that the system uses to calculate the employer's contribution towards pension

  • EDLI Wages - Basis that the system uses to calculate the employer's contribution towards Employee Deposit Linked Insurance (EDLI)

  • Employee's PF Contrib. - Amount that the employee has contributed towards provident fund for the specified month

  • Employer's EPS Contrib. - Amount that the employer contributed towards pension for the specified month

  • Difference of Employer's PF & EPS Contrib. - Difference between the employer's contribution towards PF and pension already paid for the specified month

  • NCP Days - Number of days in the month for which wages are not due

  • Refund of Advances - Amount that is repaid toward PF in case the employee opted for partial withdrawal of funds. The refund is made by the employer on behalf of the employee.

To see the ECR arrear file, click Arrear File. The following fields are displayed on the ALV output screen:
  • Emp No. - Employee number

  • UAN - Universal Account Number

  • Emp Name - Employee name

  • Arrear EPF Wages - Difference in the current and previous EPF basis

  • Arrear EPS Wages - Difference in the current and previous EPS basis

  • Arrear EDLI Wages - Difference in the current and previous EDLI basis

  • Employee's PF Contrib. Arrears - Difference in the employee's current and previous PF contribution

  • Employer's PF Contrib. Arrears - Difference in the employer's current and previous PF contribution

  • Employer's EPS Contrib. Arrears - Difference in the employer's current and previous EPS contribution

  • KYC Report

This report displays the following fields on the ALV output:

  • Universal Account Number (UAN)

  • Document Type - this can have one of the following values:

- N - National Population Register
- A - Aadhar
- P - Permanent Account Number
- B - Bank Account Number
- T - Passport
- D - Driving License
- E - Election Card
- R - Ration Card

  • Document Number

  • IFSC Code - You must mandatorily maintain a value in this field if you have selected the document type Bank Account Number

  • Expiry Date - You must mandatorily maintain a value in this field if you have selected the document type as Passportor Driving License

  • Employee's Name

  • Educational Qualification - Note that this field is optional. This field can have one of the following values:

- I - Illiterate
- N - Non matric
- M- Matric
- S - Senior Secondary
- G - Graduate
- P - Post Graduate
- D - Doctorate
  • Physically Handicap - Optional field. You can either maintain yes or no as value in this field.

  • Physically Handicap Category - You must mandatorily maintain this field if the value of Physically Handicap field is "Yes". It can have one of the following three values:

- L- Locomotive Disability
- Visual
- Hearing
  • Gender - This is an optional field which can have as value either Male, Female, or Transgender.

  • International Worker - This is an optional field which can have as value either Yes or No.

  • Marital Status - This is an optional field which can have one of the following:

- M - Married
- U - Un-married
- W - Widow/ Widower
- D - Divorcee

  • Establishment ID - This field is mandatory

Selection

You set the payroll area and period for which the report is to be generated in the following fields:

  • Payroll Area
  • Payroll Period

You can further restrict the employees selected by entering individual or a range of:

  • Personnel no
  • Personnel Area
  • Personnel Subarea
  • Employee Subgroup
  • Payroll area

You must also enter the following information:

  • The 'Trust ID' to specify the localized branch of the trust where the contribution is made in the Additional Selection section.
  • Report Name in the User Parameters section.

Note: If you select the Report name as ECR 2.0, you will have an option to upload the ECR 2.0 data and Arrear data to the application server.

In the Upload File to Application Server section, specify the location where the system stores both the files on the application server in the 'Logical File for ECR 2.0 data' and 'Logical File for Arrear data' fields. The system generates these files according to the definition of the logical file maintained in the view(s) for Logical File Names and saves the same on the application server.

Standard Variants

Output

  • The system generates a display list with the employees basic details corresponding to the form that is selected.
  • A list of errors, if any.
  • Form 5, Form 10, Form 12A, ECR, ECR 2.0 or KYC, as selected.

Activities

  1. Choose Tools -> ABAP Workbench and click ABAP Editor to access the ABAP editor window. You can also use the /se38 transaction to access this window.
  2. Enter the technical name of the report and execute.
  3. Enter the selection criteria in the respective fields.
  4. Select the report to be run in the Report name field.
  5. Enter the details of the bank where the amount is deposited.
  6. Enter the date to be printed on the report in the Report date field.
  7. In case you do not use the standard layout, click the Customer Layout button, which enables you to enter an existing customized layout form name.
  8. Choose Program -> Execute.

Example

Mr. Sanjay's employer makes their PF contributions to the RPFC trust in Mumbai and Bangalore in the trust ID's RP01 and RP02 in the two cities respectively.

When Mr. Sanjay relocated to Bangalore in the month of April, his employer started contributing to the trust ID RP02 instead the former.

When the employer runs Form 5 in the month of May for the Trust ID RP02, Mr. Sanjay is listed as he now starts contributing to the Trust ID RP02. Similarly, running Form 10 for the Trust ID RP01 lists him as he has stopped contributing.

Note

If no payroll results are found for the employee in the selected payroll period or the employee's record is not present in the selected Trust Id for any day of the period, then that employee is rejected.
