Purpose

When an employee's overtime hours reach a legal threshold in a month, the employee can convert the exceeding hours to absence quota in lieu of extra payment.

You use this report to generate a batch input session which includes the time-off entitlement for the eligible employees.

Integration

During payroll, the system still remunerates the overtime hours over the threshold. If in the following periods, the employee takes leave using the generated quota, the system deducts the corresponding payment during the payroll runs.

Prerequisites

You have made settings in Customizing for Payroll Japan under Overtime Compensation -> Time Off from Overtime.

Selection

Overtime-from Period

You specify the start date of the actual overtime-occurrence period in the Overtime-from Period field. In standard solution, the period lasts the same number of days as the calendar month which the start date is in. And the generated absence quota is effective from the specified day of the next month.

Data Retrieval when Generating Time Off

If you select the Time Evaluation Cluster (B2) radio button, the system retrieves the existing records for the specified period from the cluster B2.

If you select the Infotype 2010 radio button, the system retrieves the existing records from the Employee Remuneration Info (2010) infotype. The data-retrieval period varies depending on the JKING setting in your company as follows:

  • In new JKING solution, the data-retrieval period is the same as what you specify on the screen.
  • In old JKING solution, the data is retrieved from the period when you register the overtime hours in system.
For example, the following table indicates the difference between the specified period and the data-retrieval period for various JKING values:

Recommendation
Each time when you run the report, specify the same day of a month. By this way, the report will not generate overlapped leave quotas.

The report can generate absence quota for employees whose working time is recorded by functions in component Time Managementor Payroll. You need to select correct data source, and run the report for the corresponding employees.

Display Eligibility of Time Off

When you select this radio button, the report reads employees' records from Absence Quotas (2006) infotype of the assigned absence quota type. If the effective period of an infotype record has overlap with the period you specify on the report screen, the system sums up the absence entitlement and displays the total number on the result screen.

Standard Variants

Output

When you choose the Generate Time Off checkbox, the system displays the following information for the selected employees:

  • Overtime hours in the specified period
  • Overtime hours that can be converted to time off
  • Calculated hours of absence quota
  • Assigned quota type and the valid period

While generating the absence quota, the report checks employees' existing records of the assigned quota type in the Absence Quotas (2006) infotype. If the existing record has the same or overlapped period with the quota to be generated, the system issues error message.

For the employees with error, before creating the batch input session, make sure you have checked their records in the Absence Quota (2006) infotype.

When you choose the Display Eligibility of Time Off checkbox, apart from the above-mentioned items, the system also displays the following information:

  • Assigned leave types
  • Permitted leave hours
  • Availability of taking each leave type

Activities

To access this report on the SAP Easy Access screen, choose Human Resources -> Personnel Management -> Administration -> Info System -> Reports -> Administration Japan -> Personnel Administration -> Time Off from Overtime.

To update the employee's master data, perform the following steps:

  1. Execute the transaction code SM35
  2. Select the batch input session that you just generated
  3. Process the session
