Title

Employer Deductions (IR345) - New Zealand

Purpose

This report displays and prints the Employer Deduction Form (IR345) information for your organization. This is a legal report and you must submit this information to Inland Revenue either monthly or fortnightly depending on your filing status with Inland Revenue (IR) and make your payment accordingly. A separate form is required for each legal entity.

This report also has the option to download the information into an electronic format that can be uploaded to Inland Revenue. Options are available on the report to determine how the data was determined.

Integration

Prerequisites

  • You must have the payroll results of the period for which you are running the Employer Deductions report and the EMS cluster table must be populated. The Company Tax Details - NZ (V_T7NZCIR) table must have been populated with the required company information.
  • It is recommended that the totals on this report be reconciled monthly with the Employer Monthly Schedule (EMS) report so that payment information matches employee detail information submitted to Inland Revenue.

Output

  • This report displays the deduction details of the selected employees who had a payment made in the specified selection period and the total amount that should be paid to Inland Revenue. for the period under consideration. This report does not display individual employee details.
  • The information and payment must be made within a specified time frame. Organizations that file monthly must make payment and file this information by the 5th of the following month. Organizations that file bi-monthly must file this by the 20th of the month for the first half of the month and the 5th of the following month for the second half of the month.
  • PAYE Deductions and Withholding Tax is calculated by adding the wage types /401 and /420 and substracting wage type /450 from RT
  • Child Support deduction is calculated by summing up of the child support wage types. Child Support wage type are identified based on the processing class 64 set to 0 or 1 or 2 and evaluation class 12 set to CS.
  • Student Loan deductions is calculated by summing up of the student loan wage types. Student loan wage type are identified based on the evaluation class 12 set to SC or SB and wage type /402.
  • KiwiSaver Employee Contribution is calculated by summing up the KiwiSaver employee contribution wage types. This wage type is identified based on the evaluation class 12 set to KC.
  • KiwiSaver Employer Contribution is calculated by summing up the KiwiSaver employer contribution wage types. These KiwiSaver employer contribution wage type are identified based on the evaluation class 12 set to KE and deducting teh wage types with evaluation class 12 set to SW.
  • ESCT Deductions are sum of the ESCT wage types from RT. ESCT wage types are identified from tableT7NZSF.

The following should be noted:

  • Whether a payroll results is included based on the pay date and not period start or end dates.
  • The report is generally run for a single company code. Selecting multiple company codes in the selection criteria is only relevant if the company codes represent the same legal entity. For example, they share the same company IRD number.
  • If additional employee selection criteria are selected (For example, personnel area, payroll area) the data will be displayed based on WPBP table information and not current master data information and only data processed with that criteria will be displayed. For example, an employee moves from a weekly payroll area to a fortnightly pay period half way through the selection period. The user enters the weekly payroll area in the selection criteria. The report in this instance will only list the payroll results from the weekly payroll and will not include the fortnightly results. Care should therefore be taken when entering employee selection criteria other than a company code.
  • If the employee is terminated from one company and rehired into another company code during the selection period (different legal entity) then only payroll results that relate to each company will be shown in the respective schedules.
  • The header information for the report is based on the company code information stored in the Company Tax Details - NZ (V_T7NZCIR) table. This information can be overwritten by selecting the Overwrite Header Information on the selection screen and then entering data that differs from that specified in the customizing table.
  • When Display Detailed Employee Listing check box is selected, we can view the Employee Details report.
  • From the Main Report it is possible to jump to the Reconciliation report. This report displays the subtotalling by wage type for every total value that appears on the main report box.

Activities

1.,,Enter the relevant company code(s) for the report. If multiple company codes are selected they must have the ,,same company IRD number, that is, belong to the same legal entity.

2.,,Enter additional selection criteria if the report is being run for a further subset of employees.

3.,,Enter the relevant selection period. Note that the period is defined by Inland Revenue and will either be a ,,,,complete calendar month or will be a half month (1-15th of the month and 16th to the end of the month). This ,,time frame is validated.

4.,,Select the Display Detailed Employee Listing check box ifd you also want to view the full employee listing ,,once the report is run.

5.,,Only select the Over Write Header Information check box if the header information should be different to that ,,which is specified in configuration. In this case enter the new information in the relevant input fields. Fields left ,,blank will display details from configuration.

6.,,Execute the report (in the foreground or the background).

7.,,If a breakdown of the information is required at the wage type level select the Reconcilation Details button.

8.,,If a breakdown of the information is required at the employee level select the Employee Details button.

9.,,Select the Electronic File button to download the information in electronic format and save the file to an ,,appropriate directory. This can then be uploaded to IR.
