HNZUCLD0 - Closedown Utility Report

Purpose

This report is used to create closedown records and recalculate adjustments in the case of retro scenarios.

To create closedown records, this report will:

• Update the anniversary date maintained in the Date Specifications (IT0041) infotype with the new anniversary date (one day prior to the closedown date)

• Update the PDC recalculation date in the Payroll Status (IT0003) infotype with the hire date. This happens so that the time driver can run from the hire date.

• Create a closedown absence with closedown absence type maintained in V_T554S.

• Create a Quota Correction (IT2013) record with calculated quota hours (subtracting the advance absences from the accrual hours on anniversary date). The Quota Corrections (IT2013) infotype record is set to “reduce the generated entitlement’ and ‘only transfer quota correction immediately’. This will zero any accrual on anniversary date once time driver is run and set the entitlement to the value of any advanced absences.

• Create a close down payment wage type (maintained in V_TNZLL against quota) in the Additional Payments (IT0015) infotype.

To recalculate, this report will:

• Update the Quota Corrections (IT2013) infotype record with newly calculated quota hours (subtracting the advance absences from the accrual hours on anniversary date). It will be created with “reduce the generated entitlement’ and ‘only transfer quota correction immediately’ in Quota Corrections (IT2013) infotype

Integration

Prerequisites

• Employee’s service years should be less than one year in the organization.

• Anniversary date should be maintained in the Date Specifications (IT0041) infotype.

• A dummy record should be present in the Absence Quotas (IT2006) infotype i.e. an IT2006 record on the hire date of the employee with 0 entitlement, to book the advance absences since employee will not be having any entitlement within 1 year of the service.

• The time driver should be run at least till one day prior to new anniversary date.

• CE switch HR_CCURE_MAINS should be turned off in T77S0 (If the main switch is ON at a global level for the users, then switch can be turned off at the user level in the user parameters).

Features

Selection

• Personnel Number – Select the employee(s) to be processed.

• Closedown date – Enter the closedown date.

• Select “Create Closedown related records” radio button in order to create the closedown related records in the following infotypes :

• Update an Anniversary Date (in IT0041): Give the date type of already maintained anniversary date in IT0041. This will change the date type with new anniversary date (one day prior to closedown date). It will also change the PDC recalculation date in IT0003 with the hire date. This option is not required if the employee was already hired with the anniversary date set to the closedown date or Employee Central is used as the master record for anniversary dates.

• Create the Close down Absence Type (in IT2001) – Give closedown Absence type, Start date and End date of absences in the respective fields. This will create a closedown absence with the respective dates in infotype 2001.

• Create the Quota Adjustment (in IT2013) – Give the corresponding Absence quota type. This will create the absence quota and zero the accrual on anniversary date.

• Create the Closedown Payment (in IT0015)– Give the Wage Type corresponding to the quota type maintained in the previous step or wage types that are permitted to eligible quota types for the employee. Wage type mapping is done in V_T7NZLL.

• Select the “Recalculate and Replace the Previously Calculated Adjustment (in IT2013)” radio button to recalculate and replace the already calculated adjustment in case of retro scenarios. i.e. an employee has entered an absence after the program was run and a new calculation is required. There should be an entry with entered quota type in infotype 2013. This will recalculate the absence quota and zero the accrual on the anniversary date.

Standard Variants

Output

The output of the report will be based on the radio button selected. To create closedown related records, all the activities as per the checkboxes selected will be processed and a log will be displayed with the Employee, Infotype, Status and Result.

Activities

1. On the SAP Easy Access menu, choose Human Resources→Payroll→Asia/Specific→New Zealand→Subsequent Activities→Tools→ Closedown Utility Report.
2. Select the relevant options from the Selection section and enter all the required Selection criteria.
3. To execute the report, choose Program -> Execute.
4. Run Time Evaluation (transaction PT60) until at least the closedown date.
5. Run the Absence Rebooking program (HNZLABQ0) to adjust any absences in advance of entitlement to the correct quota record (IT2006).

It is recommended that the program be run in test mode first in case of any errors (e.g. the absence record is selected to occur on a day off).

After the program has been run the Display Absence Quota Information Report (transaction PT_QTA10) can be run to check that the employee’s leave balance is now zero.
