Purpose

The following describes how the report HRPAD00_C_EMPLOYEES_FOR_USERS is used for mass generation of employee master records for existing users. Since transaction PA30 does not permit mass generation of employees, this report aims to speed up the creation process.

Prerequisites

It is not recommended that you use this program in productive HR systems. There is also no migration path to a productive HR system for employees generated with this program.

Features

  • Along with the organizational assignment (for all employees together) and personal data (for each employee individually), the communication infotypes Telephone, Telefax, and E-Mail are created (all for each employee individually).
  • Employees can either be assigned to an organizational unit or a position.
  • You can implement a separate BAdI to set default values for infotypes 0001 (Organizational Assignment), 0002 (Personal Data) and all the communication infotypes. For more information, see the documentation for the enhancement spot HRPAD00_BD_C_EMPLO.
  • This program has a test mode in which data does not persist and created objects are deleted after the program is closed.

Selection

Access

On the first screen, data that governs subsequent course of the program is recorded. These are actions (such as hiring), organizational assignment, and required information for specifying the personnel number range. All fields must be filled in. This data is used later in the program for all generated employees. You can also determine whether the program is in “test mode".

Note the following for the organizational assignment:

  1. When selecting an organizational unit, a position is created in the selected organizational unit for each generated employee and the employee is assigned to this organizational unit.
  2. When selecting a job, all generated employees are assigned to this job.

Choose “Execute” (F8) to continue.

Enter Standard Values for Infotypes 0001

On the second screen, you can enter more data for infotype 0001. As before, entries made here are used for all the employees to be generated. Some fields may be marked as mandatory based on the personnel area, employee group, and employee subgroup.

Choose “Execute” (F8) again to continue.

Select Users and Enter Personal Data

On the third screen, you select the users for whom employees are to be generated. You can also maintain individual data for each employee. Some fields for infotype 0002 (Personal Data) may be marked as mandatory based on the personnel area, employee group, and employee subgroup

The mandatory fields are generated while the user name is checked. Only user names that exist in the system can be used. In addition, each user can only be added to the selection once.

The following fields are always mandatory:

  • First name
  • Last name
  • Nationality

You must also enter the communication data (telephone, telefax, e-mail) for each employee. These fields are always mandatory:

The Personnel Number column is only displayed if an external number range has been generated for the personnel number. In this case, the personnel number is also mandatory.

Enter the user name directly

You can enter user names directly in the relevant column.

If a BAdI implementation is active, the default values are not generated. Until then, until the entered user names have been checked. values that have already been entered might be lost. To avoid this, use the “Check” function (Enter) after doing a manual add.

Select user via address or authorization data

You can select users by means of address data or authorization data using the relevant function keys. This allows you to add multiple users to the selection at once. You can use search criteria in the search to restrict the results list. After you have performed the search, you can select certain users and transfer them to the list using the “Transfer” function.

If a BAdI implementation is active, the default values for all added users are generated.

Using the input help

Input help is available for the fields in the User column. You can enter search criteria in the search window to restrict the results list. After you have performed the search, you can select certain users and transfer them to the list using the “Transfer” function.

Create Employee

You start the generation process by selecting the “Create Selected Employees” function. If at this time there are still user names in the list that have not been checked, a check is first performed and the action must be repeated.

Output

After the generation process is completed, a log is displayed. This log contains for each user either a success message or all the error messages that appeared when the system was creating an employee for that user.
