Description

Generation of Absence Quotas

Use

You can use this report to structure time-off entitlements for groups of employees as well as individual employees automatically. These are saved as records of the Absence Quota infotype (2006).

The report generates the time-off entitlements for a generation interval that must be determined. The generation interval specifies the validity period of the absence quota record to be created. You can determine the validity period using one of three procedures:

  • Enter the start and end dates directly on the report selection screen in the Other Time Period field.
  • Enter only the start date or end date. The date serves as a key date for determining the actual validity interval according to the Customizing table Validity Interval of Absence Quotas (T559V) in the IMG activity entitled Define Generation Rules for Quota Type Selection.
  • Enter neither a start date nor an end date. The system date serves as the key date for determining the actual validity interval according to the Customizing table Validity Interval of Absence Quotas (T559V).

Structure of Absence Quota Records

If the specified generation period or validity period falls completely within the validity period of an existing infotype record, a new infotype record is created.

Total entitlement: 26 days

If the validity period of an existing record falls completely within falls completely within the validity period of a newly generate record, both records are calculated together. To do this, it is required that you activate the Settlement of existing quota entitlements field in Customizing under Define Generation Rules for Quota Type Selection. This field is only available for quota types that are not generated via time evaluation.

This technique is useful if you want to allocate entitlements to employees in advance and then make calculations with these entitlements, such as when you want to generate the new yearly entitlement.

If the new validity period of the newly created record is the same as the validity period of an existing record, no new infotype is created.

Supply of the Absence Quotas infotype (2006)

The Absence Quotas infotype (2006) is supplied using one of the following procedures:

  • By generating background processing that can be created during the program run and then run at a later time
  • By updating the new or changed infotype records directly
  • By running in test mode. In test mode, you can use the output list to check the results before the data is actually transferred.

If you also enter Additional Selections on the report selection screen, you can use the Person Selection Period to define a key date or time period for which you want, for example, a cost center for time-off entitlements to be generated for all employees.

If you launch the report online, the system outputs a list of generated absence quotas as well as error messages for the personnel numbers that the system could not process.

If you run the report in the background, the error messages are not displayed.
