Description

This program archives the AFS material grid header records that have been flagged with the deletion indicator as well as their records from the tables AFS material grid entries and AFS material grid texts.

You can trigger the grid archiving with the archiving transaction 'SARA'.

Enter the grid archiving object 'J_3AGRID' in the selection screen or search / select the grid archiving object using the matchcode arrow. When you choose 'ENTER',, you will see four pushbuttons.

'Archive' - 'Delete' - 'StorageSyst' - 'Management'.

By choosing the pushbutton 'Archive' you trigger the archiving. In the screen that follows, you must create a run variant with the grid selection criteria.

You can select the grid number (from/to) and the Ref.Validity Date (from/to).

You can also set two additional test run indicators.

  • Indicator 1: Archiving run in testing mode. - If you set this indicator, no archive will be created. The number of the archiving run = '0000' will appear in the log, not the number of the actual archiving run!
  • Indicator 2: Deletion run in testing mode. - If you set this indicator, the deletion run which is to be started after archiving will be simulated. You must have first set the deletion run indicator in Customizing (transaction AOBJ or SAR3).

Never set both indicators at the same time because a deletion run can only be simulated by a generated archive!

Set the 'STARTING DATE' and the 'SPOOLPARAMETERs' after you save the run variant.

The system starts the archiving according to the set parameters.

If you have not specified in Customizing (transaction SAR3) that the deletion program should be automatically started after archiving, the system will not make any changes in the database tables during the archiving run.

The following database tables are processed:

  • J_3APGHD / AFS material grid header
  • J_3APGEN / AFS material grid entries
  • J_3APGTX / AFS material grid texts

With the primary archiving criterion 'Deletion indicator set', the system puts the records that are to be archived through the following checks:

  • Set 'Used' Indicator:
  • If the 'used' indicator is set in addition to the set deletion indicator (there are one or more reference grids for this grid), you must check the record for these reference connections.

  • If the 'used' indicator is not set the grid record can be archived.

  • Reference Check(s) - Grid / Master:
  • The system runs two reference checks. It checks if there is another reference grid record or a reference master grid record for the record that is to be archived. The system always checks the reference number along with the reference date.

  • If the system does not find a reference record, it must check for a reference in the material master record (MARA).

  • Reference Check(s) - Material Master:
  • If the checks described above come out 'negative', the system also looks for the record to be archived in the material master (MARA).

  • The system only archives the grid record and the records from the dependent tables if the (reference) grid record was not found in the material master check.

Archiving the records:

  • From the grid header database table (J_3APGHD) to --> grid header archive
  • Grid entry database table (J_3APGEN) to --> grid entry archive

  • Grid text database table (J_3APGTX) to --> grid text archive

Additional archiving programs:

  • Delete the records afterwards with the AFS program J_3AGRID.
  • You can also reload the deleted grids from the archive to the database table(s) with the program J_3AGRIR.
