Description

You use this program to archive and delete the following stock records:

  • Batch stock records
  • Consignment stock records
  • Other special stock records

You have the following options:

  • Archiving special stocks for existing materials
  • Archiving special stocks for a material number that has already been deleted

You enter your selection criteria for one of these options. The system uses the dataset thus determined to carry out the necessary checks for each of the relevant tables.

If the outcome of these checks is to allow the corresponding entries to be deleted, the system archives the entries together with any entries in dependent tables.

If the system was able to close the archive file, the deletion program is started automatically, and the data is deleted from the database tables.

Restricting the Selection

Program parameters allow you to specify which stock records you want to archive and delete.

In the case of batch stock records and consignment stock records, you also have the following options:

  • Archiving and deleting only those stock records that are flagged for deletion
In this case, you do not set the Consider batch records without deletion flag indicator or Consider consignment records without deletion flag indicator.
  • Archiving and deleting all stock records that can be archived and deleted, irrespective of whether they are flagged for deletion or not.
In this case, you set the corresponding indicator.

In both cases, the system checks whether the materials can be deleted before proceeding.

In the case of batch stock records, you also have the following options:

  • If you set the Check expiration date indicator, the shelf life expiration date of the batch must precede the system date. Only then can the batch concerned be processed.
  • If you set the Delete only stock records without stock indicator, the system archives and deletes only stock segments without stock, not the master data.
  • If you set selection parameter Residence time for original batch and specify a residence time in days, you define how long an original batch remains in the SAP system.

Technical Settings

You can run the program in one of the following modes:

  • If the Test mode indicator is set (default value), the system carries out the checks, but does not archive or delete the data in the database.
  • If the Test mode indicator is not set, the system carries out the checks, and archives and deletes the data in the database.

Output

In the log, the system lists the results of the individual checks and it records the archiving process. If a stock record at a particular organizational level could not be archived and deleted, you can see why here.
