Purpose

This report extracts employee master data from the SAP ERP system and writes it to IDocs or Comma Separated Value files (CSVs), which can then be transferred to an SAP CfTE system.

Use

The extraction is based on the IDoc type OTM_EMPL and can have the following flavours:

  • Initial replication
Start report Replicate Employee Master Data into SAP Cloud for Travel (OTM_TRIGGER_EMPL_REPL_CE) to extract master data for all the employees, who must be replicated in the SAP CfTE system. In the selection screen, enter the Partner Number of Receiver, then press Configurationand ensure you have set up a configuration for your partner number.
  • Delta replication (only with IDoc, not with CSV)
Start report Creating IDoc Type from Change Pointers (RBDMIDOC) and enter IDoc message type OTM_EMPL. This will trigger the same function as in the initial replication, but restricted to those employees, whose master data has changed since the last replication. Configuration and BAdIs are effective as well.

Integration

Error messages created during a replication are written to the business application log. You can find them via transaction Analyze Application Log (SLG1). Enter object OTM_HCM_EE and subobject OTM_HCM_EE in the entry screen of the application, and press Execute to find the errors.

Prerequisites

  • If you use IDoc, you need the following:

You have configured the Application Link Enablement distribution scenario for employee master data, as described in the SAP CfTE Intergration Guide: Installation & Upgrade Guides -> On-Demand Solutions from SAP -> SAP CfTE -> latest version. In particular, you have set up the receiving SAP CfTE system for message type OTM_EMPL.

In addition to setting up ALE change pointers, you have activated change pointers for message type OTM_EMPL in transaction Activate Change Pointer Per Message Type (BD50)

  • If you download CSVs, you don't need to set up ALE or change pointers. In the long run, IDocs beat CSVs because they are automatic, more secure than CSVs, and they allow delta replications.

Features

  • Selection Screen
Receiving. Partner No.:You enter the Partner Number of Receiver for your CfTE system. If you have configured receiving target systems (maybe for test purposes), you can get all target systems for message type OTM_EMPL in the value help of the field.
Configuration:You enter the customizing view OnDemand Transfer of Employe Master Data(V_OTM_HREE_C01) via the push button Configuration.

With the view OnDemand Transfer of Employee Master Data(V_OTM_HREE_C01), you can configure which data fields are transferred to the SAP CfTE system, and from which data sources in SAP ERP the data is read.
By default, the report only transfers master data, which is required by the SAP CfTE system, namely person id, e-mail, first name, last name, and assignment to cost centers. In the customizing view, you can add more data.
The transmission start date is defaulted to the current date.
  • BAdIs

Output

The report creates IDocs that you can check in the Status Monitor of ALE messages (BD87), or downloads CSV files to your chosen path.

The report creates a list of all processed employees if you flag Create Messageson the selection screen.

The report creates entries in the business application log for employees which could not be processed due to errors.

In case of the delta replication, change pointers are flagged to Processed for successfully processed employees
