Purpose

This report creates users for employees that were replicated from a SuccessFactors Employee Central system. It assigns a given user role and user group to the created user and maps the user to the employee using HR infotype Communication (IT0105), subtype System user name (usually 0001).

The report can be executed for all active employees or for a selection of employees.

It is intended to be scheduled and run as a batch in a regular interval.

Integration

Prerequisites

User Group / Role

You have created a user group (for example ESSUSER).

A role has been set up that contains all authorization objects that are necessary for the offered employee self-services (ESS).

Example: A composite role for the delivered pay statement ESS, contains the customer copies/adjustments of

  • SAP_QAP_BC_ENDUSER
  • SAP_CLOUD_EMPLOYEE_ESS_PAYSLIP

Permissions

To execute this report, a user requires permissions to read infotypes 0000, 0002 and 0105 and to write infotype 0105 subtype ECUS. In addition, the following permissions are needed:

1) User creation

  • Authorization Object = S_USER_GRP

  • Authorization Field - ACTVT = 01

  • Authorization Field - CLASS = A user group for user maintenance (for example "ESSUSER")

2) Role Assignment

  • Authorization Object = S_USER_AGR

  • Authorization field - ACTVT = 02

  • Authorization field - Role Name = The (composite) role to be assigned to the users

Features

The report creates users with the user name and alias set to the employee's user ID at a SuccessFactors Employee Central system (Employee Central user ID). The Employee Central user ID was replicated to the HR master data of an employee in infotype Communication (IT0105), subtype Employee Central user (ECUS) and is read by the report.

No password is created for the user. The status of the password is set to "deactivated". This is sufficient, because the employee will log-on to the SuccessFactors Employee Central system and will then be logged-on via single-sign-on to the ERP system.

Note:The Employee Central user ID must not be more than 12 characters long, or else the information cannot be stored into the ERP user name.

For user creation, all employees are considered that are active at the time of or after the report is executed.

The user names are written to the HR master data of the employees in infotype Communication (IT0105), subtype System user name (usually 0001).

Note: Nothing is updated if the user already exists in the system.

Selection

The user group and the user role are mandatory parameters. The user group to which ESS users should be assigned to and the respective user role must be entered manually.

Optionally, a person number or a range of person numbers can be passed. In this case only a user is created or maintained for the selected personnel number(s).

Test Mode

The report can be executed in a test mode. This is the default mode and can be turned off by deselecting the flag Test run.

In test mode, no users or infotype records are created.

Standard Variants

Output

When the report is run in productive mode, it logs all activities to the application log (see transaction SLG1) with log object HRESS.

When the report is run in test mode, all employees for which users would be created are displayed on the screen. No entries are written into the application log.
