Purpose

This report populates 2 new fields of the table PTRV_KMSUM, trip provision variant (or MOREI) and accounting period end (or ENDDA). This is a prerequisite to archiving (and destroying) old entries, as per Global Data Protection Regulation (GDPR) where applicable.

This program will only consider entries without MOREI / ENDDA, meaning it can be run multiple times, and it can enrich new entries every time.

Integration

This program can be run stand-alone, as a previous step to running archiving / destruction for archiving object TRV_KMSUM.

Prerequisites

The Infotypes (0001, 0017, 0027) and period customizing data (table T706P) which led to the calculation of totals during trip expenses must still be present.

Selection

This program may run in test or production mode. It uses logical database PNP for selection, allowing flexible PERNR selection. For multi-country installations, it is most appropriate to select via PERNR range corresponding to single countries.

An important parameter is “Systematically apply MOREI”. It can be left empty or populated. If left empty, the system will recalculate MOREI for all employees. If populated, the report will assume this MOREI to be valid for all selected PERNR’s, which will improve performance. To use this possibility most efficiently, you must make sure that your PERNR selection corresponds to this MOREI.

Valid example: say your company is a global operator in the private sector. If you let the program run for your Norwegian subsidiary, you should enter your Norwegian PERNR assignment range, and may enter MOREI 20 (or the copy of SAP-delivered MOREI 20 that you use).

Invalid example: say you operate in the German public sector. Your employees, civil servants, may change between public services, hence changing MOREI. You may then not enter a fixed MOREI for calculation, letting the system recalculate MOREI and validity period for each PTRV_KMSUM entry.

Note: in this case, if you enter a fixed MOREI, it will be assigned to each entry in PTRV_KMSUM, whatever the actual MOREI was for this employee at the time of calculation. This might have no influence or might lead to errors if the legal retention period is different between MOREIs

Output

Database entries are modified only in production mode. Furthermore, a brief output is displayed, with the number of PERNRs processed without PTRV_KMSUM entry, the number of PERNRs for which all PTRV_KMSUM entries could be enhanced, and the number of PERNRs for which only part of the KMSUM entries could be enhanced (typically, when old IT0001 – IT0017, or old period data was deleted from the system, preventing the process of old PTRV_KMSUM entries).

Display options allow if desired to get a detailed display, with every PERNR concerned, either for all cases, or only when enrichment was partially or completely impossible.
