Title

E-mail Notification for New Work Items in the Business Workplace

Purpose

The report sends work item notifications to e-mail recipients. E-mails are only sent to those users for which the user attributes (FORWARD_WI) 'Flag: Forward Work Item is set in PPOMA_BBP.

Normally, notifications are only generated for work items that

  • are Ready or Waiting
  • were generated since the last run of the report (the time of the last run is saved in a table)

Purpose:

  • Users that do not use the integrated inbox of the EBP system (other mail client) can process work items in their usual mail client.
  • Users that do not use the integrated inbox of the EBP system are notified easily.

Integration

Prerequisites

  • The user attributes (FORWARD_WI) 'Flag: Forward Work Item are maintained in PPOMA_BBP.
  • The user e-mail address is maintained in SU01.

Features

Instance data:

  • Job suffix:
In this way, several instances of the report can run side by side. Other report parameters can be set differently. The times of the last runs are saved for the individual instances.
  • Tasks:
Selection of the work items is restricted to work items for selected tasks (parameters of the report).

Send granularity:

  • One message per work item:
One e-mail is sent per new work item.
  • One e-mail per user:
Only one e-mail is sent per user, covering all new work items for that user.

Type of e-mail:

  • HTML format:
E-mails that are sent in HTML format.
  • Plain text format:
E-mails that are sent in plain text format.

Approval buttons in HTML e-mail:

  • Available:
The approval buttons 'Approve Via E-mail' and 'Reject Via E-mail' exist in an HTML-formatted e-mail
  • Not available
The approval buttons 'Approve Via E-mail' and 'Reject Via E-mail' do not exist in an HTML-formatted e-mail

Standard text for notification

You can compose the text of the e-mail.

Data for a single run:

A single run occurs when fields contain a date, a time, and possibly a user. Unlike with a scheduled run, the time of the last run is not stored for single runs.

  • Work Item Creation Date From:
The creation date of work items for which messages are to be sent is not older than this date.
  • Work Item Creation Time From:
The creation time of work items for which messages are to be sent is not older than this time. .
  • User (empty = all):
Messages are only created for work items belonging to the user in the Business Workplace.

Log:

During the run, the report creates a log in a spool file. You can define what is logged.

  • Nothing (indicator Nothing is set)
  • Only error messages (indicator Only Errors set)
  • Both success messages and error messages (indicator Everything set)

Characteristics:

  • If an e-mail is sent per work item, the e-mail contains the task description and the standard text for the message. If only one e-mail is sent for all work items, the e-mail only contains the standard text for the message.
  • The results of database queries (automatic forwarding addresses) are buffered for better performance.

Selection

  1. Determine the possible work items.
  2. Determine the recipient of each work item.
  3. Consider only the recipient for which the user attributes (FORWARD_WI) 'Flag: Forward Work Item'' are maintained in PPOMA_BBP.
  4. If only one e-mail is sent for all work items, the system checks whether an e-mail has already been sent.
  5. Generate e-mail text (work item-specific).
  6. Send e-mail to all recipients

Standard Variants

You can define variants (in SE80, for example) for scheduling purposes.

Output

You can create a log.
