Description

  1. Use the F4 Help to choose a variant with which the program should be started.
    If no variant exists, create a variant with the pushbutton Maintain. (Notes on the procedure can be found in the F1-help for the field variant.)
  2. With the pushbutton Start time, determine when the job should run.
  3. Use the pushbutton Spool Parameter to define how the archiving log should be managed. If the deletion program is started automatically by the archiving program, these spool parameters also apply to the log for the deletion program.
    (For further details on the topic Spool Management, refer to "Introduction to the SAP System" in the SAP Library under the section "Print".)
  4. Under Customizing -> Technical Settings, you can if necessary make further settings such as the size of an archive file, the logical file name, content repository for storing the archive files, and automatic start of the delete program.
  5. Customizing -> Client-(in)dependent file/path names takes you to the maintenance of logical file names/paths (transaction FILE (client-independent), SF01 (client dependent).
  6. Select Generate job to create the job with the set values.
    Under Environment -> Job overview, a list of all jobs available for the current archiving program in job management is displayed.

Archiving Process Flow

For an archiving run, the system proceeds as follows:

  • All the business processes, including corresponding data, that meet the selection criteria are written to the archive.
  • All the business processes and corresponding data that were stored in the new archives are deleted.

Time Dependency of Business Process Master Data

Business process master data is time dependent. The master data is therefore deleted up to, and including, the last day of the "To-fiscal year". The system adjusts the validity start of the business process correspondingly.

Example:
The business process was created with a validity period of 20 years. You are archiving with a "To-fiscal year" of 5 years after the start year. The business process is then valid after archiving from January 1 of the subsequent year until the end of the 20 years. (This example assumes that the fiscal years are the same as the calendar years.)

Additional Parameters and Switches

  • Business process group: You can enter a group of business processes to be archived. If this field is empty, the system processes all business processes of the specified controlling area.
  • Processing: You can select either "Test run", "Archive", or "Archive and delete".
  • If you choose "Test run", the system does not create an archive file. The system only displays the table statistics and, if applicable, a list of the business processes to be archived. Deletion is not possible with this setting.

  • If you choose "Archive", the system creates an archive file. The deletion program is started only in a test run, which means that no data is deleted. You can, however, delete the data subsequently.

  • If you choose "Archive and delete", the system creates an archive file and the data is deleted. You must have selected the automatic start of the deletion program for the archiving object in Customizing.

  • Log for each business process: If you activate this switch, the program generates a list of all the business processes archived.

Further notes

Subsequent Deletion

If an archive was generated, but the corresponding data was not deleted (that is, the "Archive" option was used), you can use the transaction SARA to delete this data subsequently. On the initial screen, enter "CO_PROCESS" as the object name and choose "Delete".

Archiving CO Line Items

When you archive business processes, the system also archives the corresponding line items. If, however, you want to archive the CO line items at an earlier date, you should use the archiving object CO_ITEM "CO line items". (This affects, for example, tables COEP and COBK.)
