Purpose

You use this program to define posting addresses in multi-level budget structures in a mass run. You can use the program to create or delete posting addresses in the multi-level budget structure.

Integration

Prerequisites

You have created a multi-level budget structure in Funds Management Customizing under Master Data -> Use of Account Assignment Elements -> Budget Structure -> Create Budget Structure.

You have maintained budget address hierarchies (with several different hierarchy IDs) for the multi-level budget structure with the transaction Generate Multi-Level Budget Structure (FMHIE_GENERATION) or Process Multi-Level Budget Structure (FMHIE_CHANGE).

You have maintained the posting address definition rules for the hierarchy IDs in the transaction Process Hierarchy ID (FMHIE_HIEID).

Features

Using this program, you define the Funds Management (FM) account assignments to be used as posting addresses in the hierarchical budget structure for each FM area and fiscal year. This is different from the creation of budget addresses in the multi-level budget structure - you create these for each multi-level budget structure and budget category.

In this program, you can only define posting addresses for the active version (currently version '000') which link to a multi-level budget structure for the FM area and fiscal year; the system uses the specified posting ledger to get the corresponding budget category, and then together with the multi-level budget structure, the system can find all hierarchy IDs in the budget structure and budget category.

Note
When you define posting addresses, you can still post actuals/commitments to other FM account assignments. FM account assignments not defined as posting addresses are only excluded from actual/commitment postings if you set the indicator Check Posting Address in Customizing for Funds Management under Master Data -> Use of Account Assignment Elements -> Budget Structure -> Define Settings for the Budget Structure.

You can check whether posting addresses should be created or deleted for the program run.

Selection

  • Enter the FM area and fiscal year.
Note: The system uses this information to get the active version and the budget structure assigned to the active version. If the assigned budget structure is not multi-level, you cannot use this program to in the multi-level budget structure.
  • Enter the posting ledger.
  • Restriction on Hierarchy ID
There are two options for the restriction on hierarchy ID:
  • Maintain posting addresses for all hierarchy IDs in the budget structure

All hierarchy IDs relate to the specified budget structure and budget category are read; the system then generates all the valid posting addresses for all the hierarchy IDs one by one (different hierarchy IDs have different hierarchies and different constant element assignments). This option is suitable for the scenario when you want to maintain posting addresses for the whole budget structure.
  • Maintain posting addresses for single hierarchy ID

In this case, you should specify a hierarchy ID.
  • Restriction on Constant FMAA Elements
  • Only constant Funds Management Account Assignment (FMAA) elements of the hierarchical budget structure are displayed in this area.

  • All the restrictions are based on the assignment of constant elements in the hierarchy ID by the transaction Process Hierarchy ID (FMHIE_HIEID).

  • Restriction on Hierarchy
  • Only hierarchical FMAA elements of the hierarchical budget structure are displayed in this area.

  • Restriction on Not Relevant FMAA
  • Only not-relevant FMAA elements of the multi-level budget structure are displayed in this area.

  • Action
  • Create Addresses: create posting addresses according to the restriction.

  • Delete Addresses: delete posting addresses from existing posting addresses list according to the restriction.

Standard Variants

You have several processing options for running this program:

  • Test Run
If you set this indicator, no records are changed in the database, but all messages are logged, as in the productive run.
  • Layout Variant

Output

The number of posting addresses, and the posting addresses themselves, that were selected for processing, are displayed.

You can process several hierarchy IDs at a time. If errors are found in a hierarchy ID, they are collected into the error log and the system continues processing the other hierarchy IDs. The posting addresses without errors are displayed and you can also click the Error Log button in the toolbar to handle errors in some hierarchy IDs.
