Purpose

You use this program to convert and initialize database tables for the Governmentwide Treasury Account Symbol Adjusted Trial Balance System (GTAS). It converts the standard general ledger (SGL) account value from four to six characters by adding 00 to the end (for example, 1010 becomes 101000). It also initializes new federal government fields added to the 95 ledger line items.

This program includes the following options:

  • Standard General Ledger Master Data Conversion
  • Convert Master Data

If you select this checkbox, the program converts each SGL account that is found in the SAP master data or configuration table by adding 00 to the end of it.
  • Keep Old Master Data

If you select this checkbox, the system copies the existing SGL entry and creates a new entry with 00.
The system copies all dependent records in the respective table. You can add a descriptive text to indicate that the old SGL accounts should not be used anymore. When executing this option in test mode, the converted tables are listed.
You can only use this option for SAP master data or configuration tables in which the SGL account is defined as a key. We recommend using this option.
  • Ledger Data for Standard G/L Conversion and Initialization
You can initialize the new federal government fields on the 95 ledger and convert the SGL account to add 00 to it in the line item and totals tables of the 95, 96, and 97 ledgers.
You can process each of these options for specified fiscal years. You can process multiple batch jobs with different year ranges in parallel.
  • Convert/Initialize Line Items

If you select this checkbox, the system automatically initializes the data in the 95 ledger line items and converts the SGL account with the added 00 in the line item tables of the 95, 96, and 97 ledgers.
  • Convert Totals

If you select this checkbox, the system converts the SGL account with the added 00 in the total and line item tables of the 95, 96, and 97 ledgers.
When converting the SGL account, the newly added fields will be initialized. You can use another option to initialize the new fields. We recommend processing the SGL account conversion from a fiscal year forward and having the new fields initialized for all fiscal years in the system.
  • Initialize Ledger95 Line Items

If you select this checkbox, the system only performs the initialization of the ledger 95 line item table.
  • Processing Options
  • Reset Logs of Prior Runs

For most processes it is recommended to keep this flag set. Having this flag set is would not consider any prior runs, which would ensure a complete result.
Not setting this flag means you would want to build on prior runs. For example when a program run would get interrupted, this processing option would allow you to continue without reprocessing data that has been converted or initialized already. In case you want to continue a prior run you need to ensure that the overall selection does not change(The fiscal years to be processed stay the same).
  • Execute Test Run

If you select this checkbox, no database updates occur.
The program log records the tables that were updated and the number of records that were changed and not changed.
