Purpose

You use this report to either delete or copy a data file from the SAP application server. You use this report for file maintenance, as follows:

  • To delete a source data file when the data file has been superseded, or contains outdated data
  • To copy a source data file to a target file, when you are preparing a data file for submission to statutory authorities, or archiving a copy of the data file

The SAP application server is used to store large data files, and may also be used to store data files that are subsequently submitted to the relevant statutory authorities.

Note, data files can maintained in different file formats, such as extensible mark-up language (XML) or text (TXT) file formats.

Integration

This report is used in conjunction with golden audit reports, as follows:

  • Golden Audit: Common Information (China)(transaction GACN_COMMON)
  • Golden Audit: General Ledger (China)(transaction GACN_GL)
  • Golden Audit: Customers/ Vendors (China)(transaction GACN_APAR)
  • Golden Audit: Assets (China)(transaction GACNFIAA)
  • Golden Audit: Payroll (China) (transaction GA_CN_PY)

Prerequisites

You have the correct authorization to maintain data files on the SAP application server.

Features

You use this report to delete or copy source files from the SAP application server.

If you delete a source file, it is permanently removed from the SAP application server and can no longer be retrieved.

If you copy a source data file, you must specify a target data file. The target data file can be stored either on a local or on an external drive.

Your company will have its own requirements and policies for management of data files; you should refer to these policies and practices when managing data files.

Selection

The system sources data for the report from the SAP application server. You can make data selections, as follows:

  • Source file
  • Enter the name of the source file, including the required file extension

  • The file type defaults to **for generic DME format. Do not change this value

  • To delete the nominated data file from the application server, choose the Delete source filecheckbox

  • To copy the source data file to the nominated target file, choose the Copy source filecheckbox

  • Target file
  • Select either a disk or hard drive as the target file location

  • Choose the Selection of Path and Filepushbutton to define a target subdirectory and file name

  • Character Set Conversion
  • The Target Code Pagefield value defaults to 8450for simplified Chinese characters. Do not change this value

Standard Variants

Output

If you have deleted a data file, it is permanently removed from the SAP application server.

If you have copied a data file, you can retrieve the data file from the target location.

To access this report, on the SAP Easy Access screen choose Accounting > Financial Accounting > General Ledger > Reporting > Electronic Communication with Authorities > Country Specific Functions > China > Golden Audit > Golden Audit (GB/T 24589.1-2010) > Data File Management (transaction GACN_DOWNLOAD).
