Purpose

This report locates units, within the organizational structure, to which no eligible employees are assigned for a selected compensation review. We recommend that you execute this report before planning begins for a compensation review if organizational units that lack eligible employees are subject to that review.

This information is used within the Planning Overview to suppress irrelevant information from being displayed - for example, reviews for which a manager is not responsible, or organizational units that have no eligible employees for a specific review. An example of how such units would be displayed in the Planning Overview is provided at the end of this document.

This information is also required by the system so that it can correctly set the status of organizational units to which no eligible employees are assigned, as well as the status of superior organizational units.

  • Note
Changes to employee data, in particular to the Infotypes Compensation Process (0758) and Compensation Eligibility Override (0760), may change the eligibility of the employees for the review. The relevance of organizational units with few employees may therefore also be affected. These organizational units may be detected and their status corrected using the program option Reinitialization.
  • Caution
If organizational units that lack eligible employees are present in your organizational structure, then it is imperative that you execute this report before the compensation planning cycle commences.

Moreover, it is important to note that this report influences the display of employees solely within the Planning Overview. This report does not influence the display of eligible employees in Compensation Planning in any manner.

Integration

To understand the purpose of this report, it is important to grasp the effects that its execution has, respectively, on the back-end and front-end of your system.

  • Back-End Effects
Upon execution, the report determines all subordinate units that lie below the selected organizational unit and that have eligible employees and transcribes, for the selected unit and each unit below it, exactly one entry in the process history table (T71ADM_PROCESS).
Depending upon the presence (or absence) of eligible employees within a particular unit, one of the following two values is recorded for each unit in the Direct Reports field (T71ADM_PROCESS-EE_PL) of that table.
  • ‘ ‘ (value BLANK), indicating Direct reports not planned

The system will record this value in the Direct Reports field if eligible employees are assigned to the unit for the selected compensation review.
  • ‘N‘ (value N), indicating No direct reports exist

The system will record this value in the Direct Reports field if eligible employees are not assigned to the unit for the selected compensation review.
Furthermore, one of the following two values is recorded for each unit in the Relevant for Planning field (T71ADM_PROCESS-ORGREL).
  • ‘ ‘ (value BLANK), indicating Not Relevant for Planning

The system will record this value in the Relevant for Planning field if eligible employees are assigned neither to the unit nor to any unit below it for the selected compensation review.
  • ‘X‘ (value N), indicating Relevant for Planning

The system will record this value in the Relevant for Planning field if eligible employees are assigned either to the unit or to any unit below it for the selected compensation review.
  • Front-End Effects
Once this report has been executed, the Planning Overview uses the information derived from it to improve the display by eliminating irrelevant information. However, it is important to note that these improvements can only occur if the correct settings are present for the review in Customizing for Enterprise Compensation Management (PA-EC), under Compensation Administration -> User Interface Settings -> Define Attributes for Planning Overview, as explained under Prerequisites below. Instances of the irrelevant information that is eliminated include:
... reviews for which the manager who calls the Planning Overview is not responsible - that is, whose organizational units are not relevant for planning. Such reviews are removed from the drop-down list box.
... organizational units that are identified to be not relevant for planning. Such organizational units are suppressed from being displayed.
Organizational units that are identified to be relevant for planning, in turn, are displayed with one of the following three descriptions:
  • Not planned

The Planning Overview will display this value for an organizational unit if eligible employees are assigned to it for the selected compensation review, but compensation planning has not been submitted for all eligible employees.
  • None

The Planning Overview will display this value for an organizational unit only if eligible employees are assigned to subordinate units for the selected compensation review and if no eligible employees are assigned to the unit itself.
  • Planned

The Planning Overview will display this value for an organizational unit if eligible employees are assigned to it for the selected compensation review, but compensation planning has been submitted for all eligible employees.

Prerequisites

The improvements described under Front-End Effects are only possible if, in Customizing for Enterprise Compensation Management (PA-EC), under Compensation Administration -> User Interface Settings -> Define Attributes for Planning Overview, within the corresponding compensation review, the following checkbox is de-selected on the subsequent screen:

  • All Org. Units have Eligible Employees

Once this checkbox has been de-selected, the Planning Overview can remove the review from the drop-down listbox when it is not needed and hide organizational units that contain no eligible employees. However, as a result of this processing, the Planning Overview will display no units whatsoever if this report has not been executed. Therefore, if you have de-selected this checkbox, then it is imperative that you execute this report as a preparatory measure.

If the checkbox remains selected, then the Planning Overview always displays the review in the drop-down listbox. Organizational units that have no eligible employees still will be suppressed from being displayed when this report is executed.

Features

Selection

To execute this report, specify one compensation review and one organizational unit from which initialization of the process history table should commence, proceeding downward for subordinate organizational units. You can select the Create Messages checkbox to create messages in the report output. Furthermore, you may select the corresponding checkbox to perform test initialization runs. Such test runs will not affect the process history table entries of your system.

  • Note

Both of the checkboxes named above are active by default.

If you select the checkbox Reinitialize org. units, the program checks the relevance of the organizational units for the planning process and the status of the Compensation Process (0759) Infotype for the employees and inserts new entries in the process history table which correct this information and the status of the org. units.

  • The status of the org. units is changed to Complete if no unplanned eligible employees exists and all subordinate org. units have the status Approved.

  • The status of the org. unit is changed to Open if eligible employees exist or subordinate org. units do not have the status Approved.

  • If the checkbox Reopen approved org. unitsis not selected, org. units with status Approved are never reset to status Open.

Caution
If the status of an org. unit is not reset, any later changes to the employees are not subjected to the normal approval process. HR administrators must ensure that the relevant managers are made aware of any changes and give their approval.

Standard Variants

Output

When executed in productive mode, this report initializes the process history table for:

  • the selected organizational unit,
  • all organizational units that lie below the selected unit, and
  • its superior organizational units.

The most efficient way to execute this report, therefore, is to select the highest organizational unit for which eligible employees will exist for a specific review. For example, if a compensation review is only used in one specific country, then the report should be executed for that review by specifying the highest organizational unit for that country. In this manner, no unnecessary entries are made in the process history table.

Activities

On the SAP Easy Access screen, choose Human Resources -> Personnel Management -> Compensation Management -> Enterprise Compensation Management -> Compensation Planning -> Preparation -> Prepare Org. Units for Comp. Plng. to access this report.

Example

Currently, you are preparing compensation planning for organizational units assigned to the sales and marketing division of your enterprise. Among the various employees who are eligible for this compensation review, it is your responsibility to complete compensation planning for the direct reports who are assigned to the organizational units of the Executive Vice President of Sales and Marketing and the Senior Vice President of Sales. It is the responsibility of other compensation managers to complete planning for other units.

Upon executing this report, the associated Planning Overview would display the organizational units and employees as indicated below.

  • Unit EVP1 for the Executive Vice President of Sales and Marketing... which has eligible employees.

    The unit is shown.
  • Unit SVPA for the Senior Vice President of Sales ... which has eligible employees.

    The unit is shown.

  • Unit SVPB for the Senior Vice President of Marketing ... which has no eligible employees.

    The unit is shown, although it has no eligible employees, because eligible employees are assigned to its subunit, VP02.

--> Unit VP01 for the Vice President of Marketing, Internet Division ... which has no eligible employees.

The unit is hidden.
--> Unit VP02 for the Vice President of Marketing, Broadcast Division .... which has eligible employees.

Further Information

On the SAP Easy Access screen, choose Human Resources -> Personnel Management -> Compensation Management -> Enterprise Compensation Management -> Compensation Planning -> Monitoring -> Display Comp. Planning Progress to review the process history table (T71ADM_PROCESS) and determine, for a selected compensation review, which organizational units are relevant for compensation planning.
