Description

This report generates a list of participant numbers of all courses of a specified type in a given period.

The report can also list courses that are still in planned status and still need to be firmly booked. You might require this information for billing and activity allocation purposes.

Selection

The report output depends on the objects selected for reporting, on the reporting period, and on the report parameters you set.

Language

If you enter a valid language key here, the report only considers bookings for courses held in the specified language.

Catalog

If you select this indicator, the report only displays courses on which
bookings can still be made and the number of possible bookings.

Locked only

If you select this indicator, the report only displays bookings for
locked courses.

With historical records only

If you select this indicator, the report only displays bookings for
courses with historical records.

Location

If you select this indicator and enter a valid location, the report only displays bookings for courses at the location specified.

Status

If you select a valid status, the report only displays bookings for courses with the specified status.

You can use this parameter as a reminder of what courses still have to be put in 'firmly booked' status. If you set the parameter at 2 (for planned status), the report lists all internal courses that still have to been firmly booked or canceled.

External only

If you select this indicator, the report only displays bookings for external courses.

Canceled only

If you select this indicator, the report only displays participants of canceled courses.

Note
Multiple selection is possible for the options under Selection options except where options contradict one another. For example, you cannot simultaneously select the indicator Catalog with the indicators Locked only, Only with historical records or Canceled only since it is not possible to make bookings for canceled, locked, or historically recorded courses.

Similarly, you cannot select Locked only and Canceled only at the same time.

Standard selection screen

This is not a data selection parameter. If you select this indicator and choose Execute, then before the report is executed, it takes you to the extended selection screen of the main report RHKURS20.

Note
On the selection screen of the main report, you can search for objects by, for example, status. As a rule, it is not necessary to go to the main report since the pre-report offers sufficient selection options. Do not select this indicator if you do not want to access the main report before choosing Execute.

Output

The report's list screen can contain the following information:

  • Course name
  • Course date
  • Course language
  • Total number of participants
  • Number of bookings
  • Number of waiting list bookings
  • Indicator for locked (L), deleted (D),historically recorded (H), and followed up (N) courses
  • Indicator for external (EXT) courses
  • Indicator for firmly booked courses

You select the data you want displayed under Settings → Change layout:

When you choose this function, a dialog box appears with the hidden columns in the right table, and the columns that are displayed on the list screen in the left table.

By selecting columns and moving the arrows, you can determine what columns are displayed. To transfer the changed layout, choose Transfer.

To save the layout, choose Save layout. You can call this layout as required by choosing Choose layout.

You can carry out the following functions in the list screen:

  • Firmly book courses
  • Cancel courses
  • Follow up courses
