Purpose

You use this program to start the disposal of objects (file plan classes, folders and documents) in Records and Case Management. The determining factor for the disposal of objects is defined in the disposal rule assigned for each object. This controls the lenth of time the object is held in addition to other aspects of the object.

Integration

Prerequisites

  • You have defined disposal rules in the Customizing of Records and Case Management and assigned the rules to the corresponding objects in the fileplan.
  • The program run can only be executed for users with the roles TNA document manager or TNA administrator or with the roles DoD document manager or DoD administrator.

Features

The disposal process is divided into subsequent steps. The first step determines the objects whose effective disposal data has been reached or has passed. The determined objects are distributed to four tab pages (Review, Export, Accession, Destruction) in accordance with the handling required. In the following steps you execute the disposal one after the other, separately in accordance with the disposal action. To do this, you select the objects you want to process further in a hit list. Objects for which a disposal lock is set are excluded from further processing - these objects are flagged with a lock symbol in the hit list. You should execute the following activities in the relevant disposal actions:

  • Review
This action determines where the object will be located. You define a a follow-on action by assigning a new disposal rule for all objects selected.
  • Export
With this action, all the objects selected are stored or copied into an export destination. The object continues to exist in Records and Case Management. Exported objects get the export status Waiting for Confirmation. You can change this status using report RMPS_PRO_DISPOSAL_TRANSACTIONS to Export confirmed.
Note: The actions export and transfer only allow objects with export status Export confirmed to be destroyed.
  • Destruction
This action deletes the selected objects in Records and Case Management. This means that these objects are not exported.
  • Transfer
This action ensures that the two actions Export and Destruction are linked to each other. The process is divided into two steps:
  1. In the first step you export the objects to the export destination.
  2. In the second step you must confirm that the export of the objects was successful by changing the export status to Confirm Export. As this is linked to the status change, the deletion of these objects is triggered in Records and Case Management.

Export Destination and Exporting Objects

As an export destination you choose a local directory at your workplace. With the export the hierarchical reference of fileplan classes, folders, parts and the documents held in them are also specified in the hierarchically ordered folders and subfolders. An XML file is created in the same folder for each object in which the attribute values are saved.

Reporting for disposal

For the evaluation of the disposal rules used (active disposal rules), objects to be disposed of and objects with a disposal hold are available in report RMPS_PRO_DISPOSAL_REPORT.

For the evaluation of objects already disposed of, you can use report RMPS_PRO_DISPOSAL_TRANSACTIONS.

You can use the report RMPS_DOD_DISPOSAL_REPORT_S for the evaluation of objects in DoD disposals.

Selection

You can limit the selection run to individual fileplan classes in the fileplan. If you do not set any limitations, the selection run takes place using the whole fileplan.

Standard Variants

Output

You can see the hit list for the relevant disposal actions on the tabpages. By double-clicking on a line you can display the attribute values of an object on a separate screen.

Activities

  1. Start the program run.
  2. Define your selection of the objects to be checked in the fileplan and choose Select Objects.
  3. Choose a selection of objects to be processed in the hit list (for the relevant action on the corresponding tab page) and choose Start Process.
  4. Define more parameters (for example, for the action Exportthe Export Destination), irrespective of the action. Enter a comment entry and execute the disposal (for example Start Export).
  5. Confirm the execution of the relevant disposal action and define the local directory for the actions Export and Transfer.
