Purpose

You can archive selected documents using the report.

You archive using SAP Basic functions. The system will only process documents which have not yet been archived. After archiving an archive indicator is set in the document management data. When you call documents with an archive indicator, the archived document is displayed and not the original.

You can also synchronously archive documents using this report. In the event of an error in archiving it can only be guaranteed in this processing that the archive indicator is not set in the document management data. During asynchronous archiving you can check in the Archive Link Monitor (TA OAM1) whether all documents have been archived. In the event of an error you have the option of triggering archiving again.

The archived document is not deleted from the SAP database. If you want to remove documents from the SAP system after archiving, you should use report RN2DOC_DELETE_ARCHIVED_DOC.

Integration

Prerequisites

To execute this program, you need the authorization for the authorization group N_2_DV1 in the authorization object S_PROGRAM.

The archiving format must be defined for each document category application. Archiving is controlled in SAP via the (archive) document type. An (archive) document type must be created for each application. You perform the settings for Archive Link in customizing under SAP Application Server --> Basic Services --> Archive Link --> Basic Customizing. An (archive) document category that the archiving format is defined with is assigned to an (archive) document type.

  • You must create an (archive) document type with the archive document category PDF for parameterized documents (PARAMDOKU).
  • You can create an (archive) document type with the archive document category DOC for WORD documents (WORDCONTAINER).

Each document category application must be assigned to an (archive) document type, because the (archive) document type is the initial access point into archive customizing. The assignment of the document category application to the (archive) document type occurs via Customizing (Industry-Specific Component Clinical System --> Clinical Documentation --> Document Definition --> Configure Archiving of Applications).

You also use the (archive) document type to make assignments to the other archive customizing settings such as object type (SAP Business Object), file (archive) and links table. All (archive) document types for medical documents must be assigned to the medical document 'BUS1400' object type in Customizing (SAP Application Server --> Basic Services --> Archive Link --> Basic Customizing --> Process Links).

Selection

When you create a document, the system will set the the creation date as the change date; you can therefore also select unchanged documents using this change date.

You can test archiving as follows:

  • In "Test Run (Log Only)" the system will only select and call the selected documents. Data will not be changed or created. The system creates a log.
  • Using "Test Archive Interface" the system will simulate the processing without saving the modified SAP data in the database. When the archive interface is called the documents are stored in the archive and can no longer be accessed. The program creates a log.

You can determine whether the log should be saved.

Standard Variants

Output

The log is created and displayed using SAP application logging. Using the transactions SLG1 and SLG2 you can evaluate and delete the saved logs.
