Description

This program enables you to move appointments that have been created for patients in the visit scheduling transaction. These are patient appointments with an attending person or in a treatment room. The attending person and treatment room are also referred to as planning objects.

It is only possible to move appointments from a planning object A (in the From group frame) to a planning object B (in the To group frame). Note that planning objects A and B can be identical.

The selection criteria under From enable you to stipulate the appointments of a planning object that are to be moved. Under To, you specify the interval for rescheduling the appointments and the time slots that should be taken into consideration.

By clicking More Criteria you can enter additional criteria for the source and target planning objects in a further dialog box.

You can specify a reason for moving the appointment in the Cancellation Reason field. The system saves this text for each appointment moved.

If you set the Notification Desired indicator, you stipulate that the patient is to be informed that the appointment has been rescheduled. Such notifications can then be printed for appointments for which this indicator has been set, using the appointment notification collective print program.

If you set the Overbook Existing indicator on the additional More Criteria selection screen, the system overbooks existing appointments or time slots within the time interval concerned in the target schedule when appointments are moved. Defined overbooking capacities are taken into account for this.

An appointment is overbooked only when there are no more open time slots in the interval of the day in question. This means that when you move appointments, first the open time slots for one day are filled, and then the overbooking capacities defined for the day and period concerned are used, before the open time slots for the next day are filled.
If the indicator is not selected, overbooking capacities are not taken into account in the target schedule when you move appointments.

Requirements

The program only takes into account appointments that have been created using the visit scheduling function. Such an appointment can be a provisional appointment (no assignment to a patient number or to a case), or an outpatient visit.

The Overbook Existing indicator can only be set by users who have been granted the overbooking authorization.

Output

The results log contains all appointments along with the new appointment data. If an appointment could not be moved, the reason is output in the message column.

The results list is an interactive worklist from which you can execute the following functions for the visits displayed:

  • Save Appointments
If you did not set theSave Immediately indicator on the selection screen, you can save the moved appointments using this function.
  • Change Appointment
This function is only active if the moved appointments have already been saved. It enables you to maintain the data of an appointment and thus correct the appointment move.
  • Planning Object Schedule
This function is only active if the moved appointments have been saved. It enables you to access the daily schedule of a planning object. If you selected an appointment in the list, the system displays the relevant section of the daily schedule of the appropriate planning object for this appointment. The functions available from the daily schedule enable you to correct the appointment move, for example.
