Purpose

You use this report to process the year-end adjustment (YEA) forms submitted by your employees through the following Employee Self-Service (ESS) services:

  • Update Life Insurance and Spouse Tax Deduction Declaration Form
  • Update Employee Income Tax and Family Dependent Tax Form

With the report, you can approve or reject the forms, or set the forms pending.

If an employee has not submitted the form or is required to submit additional documents, you can send a reminder e-mail to the employee. If you have rejected an employee's form, you can send a notification e-mail to the employee.

Integration

Prerequisites

You have entered employees' e-mail addresses in the E-mail (0010) subtype of the Communication(0105) infotype. This enables reminder e-mails or notification e-mails to be sent to employees.

You have assigned a personnel administrator to each employee in the Organizational Assignment (0001) infotype. Only the assigned personnel administrator is authorized to process the employee's YEA forms.

You have defined templates for reminder e-mails and notification e-mails in Customizing for Personnel Managementunder Employee Self-Service (Web Dynpro ABAP) -> Service-Specific Settings -> Settings for Country-Specific Services -> Japan -> Benefits and Payment -> Year-End Adjustment -> Define E-mail Templates for YEA Form Status Management.

Features

To make sure that the form data and personnel information in the system is correct, the system checks the form data for the cases that require your attention. For example, for both forms, the system checks if an employee is required to submit additional documents. If so, a warning message is displayed in the result, and you can send a reminder e-mail to the employee.

In addition to the additional document check, the system also checks the form data for the following cases:

  • Life Insurance and Spouse Tax Deduction Declaration Form
  • The employee applies for special spouse deduction in the form and the employee's disability deduction status is 1 in the Personnel Tax Status JP(0145) infotype.

  • The employee has submitted the form three or more times.

  • Employee Income Tax and Family Dependent Tax Form
  • The widow status or widower status in the submitted form is different from the status in the Personnel Tax Status JP(0145) infotype.

  • The employee submits a form after November 1 of the target year and he or she had submitted the form three or more times.

  • The employee submits the form before January 31 of the target year and he or she has made more than one submission.

If any of the cases is detected, the system displays a warning message in the results and you can review the form data or the system data.

You can implement your own checks in Customizing for Personnel Management under Employee Self-Service (Web Dynpro ABAP) -> Service-Specific Settings -> Settings for Country-Specific Services -> Japan -> Benefits and Payment -> Year-End Adjustment -> BAdI: Automated Validation for ESS YEA Status Management.

Selection

Period

Specify a period and the report retrieves the form data that is submitted within this period.

Additional Data

Specify the criteria for form data retrieval:

  • Target year
    The relevant year of the form
  • Process Name
    Specify a process and the system retrieves the corresponding form data:
  • YEAINS: Life Insurance and Spouse Tax Deduction Declaration Form

  • YEATAX: Employee Income Tax and Family Dependent Tax Form

  • Workflow Status
    Specify a form processing status and the system retrieves the data in that status.
  • Not started: The employee has not submitted the form.

  • Sent to HR: The employee has submitted the form, but the HR administrator has not processed the form.

  • Pending: The employee has submitted the form, and the HR administrator has set the form status as pending.

  • Approved: The employee has submitted the form, and the HR administrator has approved the form.

  • Rejected: The employee has submitted the form, and the HR administrator has rejected the form.

  • Withdrawn: Employees have cancelled the submitted form.

  • Process Reference Number:
    Specify a reference number for process application, and the system retrieves the form data of that particular application.

E-mail Templates for Reminders

With the selected template, the system generates e-mails for one of the following purposes:

  • Reminding employees to submit the form
  • Reminding employees to attach additional documents to the form
  • Notifying employees that their forms have been rejected

Display

Specify a display variant of SAP List Viewer (ALV) and the system uses this variant to display the report results.

Standard Variants

Output

The system displays the results in an ALV. You can process the form data by choosing from the following pushbuttons:

  • Approve
  • Reject
  • Pending

In addition, you can select the data entry with status Not Started, Sent to HR, or Rejected, and choose the Send Reminderpushbutton. The system sends the reminder e-mail or notification e-mail to the relevant employee.

Based on the check results, the system displays a warning message so that you can review the form data or the system data later.
