Purpose

With this report you can create employment statements for employees who have left your company. The employees require this statement in order to be entitled to unemployment payments from the employment office.

The legal basis for the employment statement is the Employment Statement Ordinance (see BGBl. No. 301/1996). According to par 46 par. 4 AlVG, the employer is required to issue an employment statement for all employees employed with unemployment insurance.

Prerequisites

Before you can execute the report, the following conditions must be met:

  • In Customizing for Personnel Administration under Organizational Data -> Organizational Assignment, you have completed the activities in the Additional Organizational Assignment (Austria) section.
  • You have deregistered the former employees from social insurance using the SI Notification Supplements A infotype (0367).
  • You have executed the Leaving personnel action for the former employees.
  • You have registered the relevant data in the Additional Payments infotype (0015) for the former employees who receive leave compensation or factored leave compensation.

Features

The report creates employment statements for the selected employees if their final full-time employment relationship with unemployment insurance ends in the selected period. The statements of confirmation are issued as SAPscript forms.

The report takes the relevant information from the employee's master data. The report does not read the payroll results.

The employees' professions are taken from the appropriate record of the SI Notification Supplements (A) infotype (0367). (Registration with social insurance or a change notification for social insurance). If an infotype record does not exist for an employee, the report takes the name of the profession from the position text or from the job text.

You can create test or productive forms. If you only want to test the SAPscript form, select the Test Form field. In this case, the report ignores the Statement Type that you chose. The test forms created are not stored. The statements are identified as test forms on the SAPscript forms.

If you want to create a productive form, select the Live Form field. In addition, choose the Statement Type:

  • Original Statement
  • Duplicate
  • Correct Errors (corrected original statements)

Productive forms are saved to table T5A9A (Created Statement of Employment (A)).

You can only issue one original statement for each employment relationship. When you save an original statement, it is saved to table T5A9A with the value O. If you later realize that the original statement contains errors, (for example, due to incorrect information in an employee's master data), you can create a corrected version of this original statement. The statement with errors is listed in table T5A9A with the value S. The corrected version (the "new original statement") is saved with the value O. We recommend that you revoke the original statement with errors and destroy it.

You can create as many duplicates of saved original statements as necessary. You can only create one duplicate per day, however. The forms are identified as duplicates. Duplicates are saved to table T5A9A with the value Z.

If original statements cannot be printed for technical reasons (for example, due to a broken printer), do not issue a duplicate. In this case, delete the saved, but not printed statements from table T5A9A. Afterwards restart the report for these statements.

If you want to create a large number of statements, you can print all forms immediately.

The Individual Check for Statements field allows you to first view and check each statement that the report is to create in print view. You can then decide whether you want to print and save each statement.

In the Further details on the statement group box, you can specify the reasons for no payment of leave compensation, factored leave compensation, or pay in lieu of notice. These entries are optional and are only taken into account if the relevant conditions are met: (Example: According to the deregistration with the social insurance in the SI Notification Supplements A infotype (0367), the employee did not receive leave compensation or factored leave compensation.

If different reasons apply to different employees, you must execute the report for these employees individually.

Example of Using the Report

You have created an original statement for an employee. This statement is saved to table T5A9A (Statements Issued (A)) with the value O (Original). However, you find incorrect data in the issued statement and need to correct it. Proceed as follows:

  1. Correct the error in the employee's master data.
  2. Restart the report for the employee. Select the Correct Errors and Test Form fields.
The report displays the test form.
  1. If the data displayed is correct, run the report for the employee. Select the Correct Errors and Live Form fields.

The report creates the statement with the corrected data. The new statement is saved to table T5A9A with the value O (Original).

In table T5A9A, the value of the indicator for the statement with incorrect data changes from O to S. Revoke the incorrect statements with incorrect data and destroy them.

Explanation of the Fields on the Form

  • Regional branch: Reserved for unemployment office
  • Unemployment registration on: Reserved for unemployment office
  • Insurance number: ID number of social insurance
  • Date of Birth: Self-explanatory
  • Start of employment: Entry into the employment relationship for confirmation
  • End of employment: Leaving date
  • End of remuneration entitlement:,,End of insurance obligation leave compensation/factored leave compensation or end of pay in lieu of notice; if no pay in lieu of notice, then leaving date
  • Employed as:,,Profession as specified in SI deregistration
  • Training from - to:,,Start and end of the training time if the employee leaving was a trainee
  • Unemployed insured with:,,Name of the insurance agency and the employer's account number with the SI
  • Reason for end of employment relationship:,,Reason for leaving as specified in the SI deregistration
  • Leave compensation:,,Calendar days as they are used for payroll and recalculated as working days (6/7)
  • Pay in lieu of notice:,,Statutory duration of SI as specified in the SI deregistration
  • Payments until:,,See "End of remuneration entitlement".
