Purpose

You use this report to display the infotype and individual number access logs from database or archive files , which helps you identify any accesses on the monitored records and also identify any illegal access by unauthorized users.

Integration

Prerequisites

To access the infotype access log, you perform the following steps in Customizing for Personnel Administration under Tools-> Revision-> Country-Specific Settings for Japan -> Infotype Log - Japan -> Access Log

Features

Selection

To display access log, you need to specify whether you want to read access information from the database or from archive files. If required, you can select both of them.

You can choose the Individual No. Log pushbutton or the Access Log pushbutton to switch between the selection criteria for individual number log and those for infotype access log.

For the infotype access log, you can specify additional criteria, such as personnel numbers, infotype, infotype period and so on. If you enter a period in Infotype Period, the system selects the infotype logs where the start date or the end date before or after the change lies in the specific period.

For the individual number access log, you can specify personnel numbers, the period during which the access happens, and transaction codes that are used to access the individual numbers.

Standard Variants

The report displays the selection criterion and access logs in the output. In access logs, the report shows the following information:

  • The person who accesses the infotype or the individual number
  • The date and time when the user that the accesses the infotype or the individual number
  • Information only relevant to individual number access log:
  • The subtype of the Individual Numbers JP (3386) infotype

  • The object ID of the dependent

  • The transaction code that is used to access the individual number

  • The operations that the user performs
  • The status of accessing result

In the detailed log of the infotype access log, you can view information such as the transaction code that the user calls to access the infotype, and if the validity period changes, the system displays the start date and the end date and the original start date and end date for each entry. You can also display the latest entry in log of the infotype record.
