Printing payroll account

Accessing the program

Program objectives

Printing annual payroll accounts according to the criteria specified and parameterization options selected on the selection screen.

Specifying selection criteria

Entering standard parameters

The only mandatory data to be entered on the selection screen is the "Period - Other period" interval:

  • The period may only be specified within a single calendar year, i.e. it may not exceed the period 1. January to 31. December of a certain year;
  • The "From date" has to be the first day of a month, while the "To date" has to be the last day of the same or a later month.

Entering report-specific parameters

"Control wage type display"

  • Payroll account form: - 4-character code, the name of the form to be used for printing the payroll account. The base value is: HK02.
  • Display only last results? - (checkbox); if cleared, the list will contain itemized retroactive accounting results, if selected, they will be merged with the data of the payroll period. It is filled in by default.
  • Differences in actual month – If selected, retroactive accounting differences will be displayed in the actual month. If it is left blank, retroactive accounting differences will be displayed in the month during which they have been created.
  • Suppress empty wage types? - If selected, only those wage types and wage type groups are displayed in the list that contain values in the period requested. This is the default case.
  • Page break for printer: - (checkbox); if it is empty, the wage type list begins on a new page after the header on the first page. (Page length is 58 rows). This way the header and the list are both easier to read on the screen as well. If the checkbox is selected, wage types are listed directly after the header of the first page. This is a more practical selection when printing the list. The checkbox is empty by default.

"Control header display"

  • Standard pay history: - (checkbox); if it is selected, the list header of the first page will display the wage type code (codes can also be defined as parameters), name and value of the employee's last 3 standard pays specified in infotype 0008 preceding the end of the "Data selection period" specified. The checkbox is active by default.
  • Hourly pay wage type(s): - the settings here determine which wage types representing hourly pays from infotype 0008 should be listed for the "Standard pay history" list. If no wage type is specified, it lists all wage types found in infotype 0008.
  • Monthly pay wage type(s): - the settings here determine which wage types representing monthly pays from infotype 0008 should be listed for the "Standard pay history" list. If no wage type is specified, it lists all wage types found in infotype 8.
  • HR units history: - (checkbox); if it is selected, the list header of the first page will display the employee's last 3 HR-unit classifications, HR unit codes (from infotype 0001) and names till the end of the "Data selection period" specified. It is active by default.
  • Cost centers history: - (checkbox); if it is selected, the list header of the first page will display the employee's last 3 cost-center classifications with the code (from infotype 0001) and name of cost centers till the end of the "Data selection period" specified. It is active by default.
  • Employment history: - (checkbox); if it is selected, the list header of the first page will display the employee's last 3 employment classifications with the code (from infotype 0001, PLANS or STELL field depending on the parameter entered) and name of employments till the end of the "Data selection period" specified. It is active by default.
  • Field Employment in P0001: - (5 characters); the value of this field specifies whether the PLANS or STELL field of infotype 1 will be used for generating an "Employment history" list. The parameter only accepts these two fields.
  • Enduring absences:- (checkbox); if it is selected, the list header of the first page will display the employee's last three long-term absences with start and end dates, code and name of absences till the end of the "Data selection period" specified. It is active by default.

Displaying payroll data

The payroll account displays payroll results by employees, detailed by wage types or periods. Depending on the parameterization, the program displays retroactive accounting data in the reference or in the current month. The payroll account summarizes data by wage types for the period specified on the selection screen. Incorrect or incomplete data will be collected in an error list.
