DESCRIPTION OF 'MOTOR' REPORTS CONTROL


# User description
Because users have different requirements for collation of HR reports, a set of reports was created that unifies entry of input parameters and formal appearance of newly created reports. Reports enable variable sorting and totals.
The basic required type of data view in a report is a linear list.

Another very popular type of view is a linear list divided into paragraphs according to selected data (for instance cost centre) with the total for every paragraph or hierarchically. Every given part is printed individually with subtotals. Recapitulation can be printed at the end – ie. print subtotals again.

Every report has fixed settings that specify which data is used for sorting and totals (key fields), which data is always printed without totals and which data is always printed and can be summarized. Key fields in the example above would be: Center, Per.No., Last name and first name. Unsummarized field is Domicile. Summarized field is Income.
The number and meaning of key fields in every report is hard-coded, butcan be adjusted in the following ways:

At bottom of selection screen a list of available key fields is displayed. User can select, which key fields should be displayed, in what order (he/she writes the order number to given key field) and whether a change of key field value should trigger a page break (checkbox next to the field for order).
If the field Value range is displayed immediately below the key field, the user can enter required range of values that should be displayed. This range limits output values (as opposed to the range for a logical database).

Entered key fields determine the range of fields to be printed as well as the order in which they are displayed (key fields first in the order specified, and then unsummarized and summarized fields) and sorting order (according to key fields in the specified order). If there are no other parameters specified, a linear list is printed.

The Number of header fields parameter in the header specifies how many rows will be moved from the list to the paragraph header and which keys will be summarized. In the second exmaple, Number of fields in the header = 1 was entered (first key field was Center), hence also subtotals and recaps will include cost center totals.

The Number of columns without repetition parameter is used in the items part of reports, where for instance more rows should be displayed for an employee (wage types, actions etc.). To prevent repeated listing of personal number and name, the number of columns in the row from the left is specified and those are printed only once (as long as their value has not changed). Value in the example above would be 2 (Personal number, Last name and first name).

In the recapitulation part the repeated listing of identical key fields is automatically suppressed.

The Display detail parameter specifies whether the line item part of the report will be printed. Reports always process data sequentially by individual employee – personal number. The set of processed personal numbers is specified by parameters selected from the logical database, ie. especially by the personnel selection period and logical database ranges.
Relevant data is loaded for every personal number (which data – infotypes, payroll results - is given by the nature of the report, and validity is usually determined by the data selection period). For instance only one row (a list of employees) or multiple records (actions, payroll results etc.) can be created for one personal number in the output. Every record created in this way is checked against ranges specified for key fields. Key fields that were not selected are "reset" and such an adjusted record is written into the data object. This data object is sorted by specified key fields and printed in the items part of the report.

The Display recapitulation parameter specifies, whether the recapitulation of subtotals will be printed. Subtotals are calculated only for key fields selected for the paragraph header. If for instance you want to print only the recapitulation part, the number of fields in the header should be equal to the number of specified key fields.

Reports from payroll results that enable processing of multiple months, usually contain the View period key field which contains values of a period, "from wich" you are payroll results "viewing". E.g. you want to print yearly recapitulation of wage types with monthly breakdown - you have to select the View period key field with identification of given month.

Reports from the results of payroll usually contain the For period key field, which enables printing of differences created by back-calculations on separate rows. If back-calculations were performed and this field is not selected for print, values from the current month and back-calculations are aggregated.

DESCRIPTION OF SELECTED REPORTS

# RPLMITT0 - List of employees

Master data report. As opposed to the default described above, you can show/hide non-key fields. The report contains summarized fields (not printed in the detailed parti) with value of 1 for every employee. I.e. totals can be used as a number of employees printed.

# RPLDCHT0 - Proposals for retirement pension

Master data report. List of employees is printed, who reach retirement age in a period specified in "Personnel selection period" fields - according to rules valid in CR.

# RPLDCHT1 - Employees with pension + income

List of employees with specified pension/disability type is printed (a special parameter in this report) together with their gross income (wage type /101) as read from payroll results. The report is designed as monthly one.

# RPLDCHT2 - Employees with pension/handicap

Master data report. List of employees with infotype 4 is printed. Pension/disability type to be printed can be specified.

# RPTABST3 - Absences of employees

The report processes payroll results (table AB). I.e. it cannot be used to evaulate absences not included in payroll yet and with periods shorter than month (payroll period). Using the Last results parameter, you can affect if original payroll results are read including back-calculations (box is unchecked), or if one "latest" result is read for each month - record with "A" flag (box is checked).

# RPLVEKT0 - Age structure

The report processes master data and contains only a recapitulation part. In the Age interval parameter, enter age ranges to be monitored (see default variant)

# RPLVZDT0 . Education structure

The report selects the highest completed education for the employee (infotype 0022-SLABS) and assigns it to the corresponding report column. Use the According to school type parameter to switch the evaluation to field SLART of infotype 0022 (nonstandard location). The report expects values
0-9.

# RPLPBVT0 - HR actions

The report displays actions from infotype 0000.

# RPLJUBT0 - Work anniversary

The report displays employees who reach period of employment specified in Number of years in a period specified in Data selection period. Duration of work relationship is calculated since youngest entry. If Date type field is filled, employee entry date is equal to the corresponding date type from infotype 0041 (if any). Age column shows age of the employee by the date of work anniversary.

# RPLGEBT0 - Jubilee

The report displays employees who reach age specified in Number of years in a period specified in Data selection period. Years column shows period of employment by the date of jubilee. The calculation follows rules stated in the report RPLJUBT0.

# RPTLEAT0 - Vacation overview

The report is a copy of the standard report RPTLEA00 extended by sort types.

# RPLSVPT0 - List of employees by health insurance funds

The report displays data from infotype 0153.

# RPCEVIT0 - Employee registration states

The report calculates employee registration states based on master data. Only for employees with on demand work specified in the infotype 0153 are payroll results read from them. Disabled group parameter serves for range setting used to calculate registration states for employees with pension/handicap (infotype 0004).

# RPCRECT0 - Vertical recapitulation

The report show results of payroll (table RT) in a similar way like RPCLGA00 and RPCLGV00. The report may be run after multiple months. Rate, Number and Amount parameters control display of individual result fields. Only lines with non-zero selected fields are printed. If Form parameter is selected, wage type range from tables T5T4A and T5T4B is used. Values from table T5T4B are read into the Summ.group key field.
Cost centers and orders are evaluated using splits APZNR and C1ZNR.

# RPCREET0 - Horizontal recapitulation

The report show results of payroll (table RT) in 20 columns max. Number of columns to be displayed is controlled by the Number of wage type groups parameter. Headings, width and format of individual columns are controlled by the 5T4B table. Wage types list to be read into individual columns is defined in the 5T4A table. The Selected numeric column parameter allows to transfer a numeric value from one of the 20 columns to the Selected numeric value key field and use it for sorting - this option is currently enabled for test purposes only, since its results are not clear enough for some parameter combinations. Name of the report can be defined in the T5T4B table record with corresponding form ID and summarization group 00.

# RPCROKT0 - Recapitulation with 12 columns for months

The report show results of payroll (table RT) in 12+1 columns. Each column represents the so-called view period without selecting this view period for display of key fields. If you want to print the report for more than one year, select also the View period key field containing a year, so that individual lines will be displayed for each year. Name of the report can be defined in the T5T4B table record with corresponding form ID and summarization group 00.

# RPCPNST0 - Analysis of incapacities to work

The report processes payroll results - table WPBP for period time pools, and table AB - absences. Wage types calculation to be evaluated is defined in the table T5T04, field AWTY1 ( in a similar way like RPCABNT0 reports). The following values are available:
001 - illnesses
002 - work-related injuries
003 - non-work-related injuries
