Year End Reporting, Canada: Magnetic Media Filing

The Magnetic Media Filing utility allows your enterprise to generate submissions of Year End data on magnetic storage devices, such as reel-to-reel tapes, cartridges, or diskettes. These devices, in turn, are submitted to the appropriate tax authority.

Magnetic Media Filing is supported for the following five Year End forms:

T4 - Statement of Remuneration Paid

T4A - Statement of Pension, Retirement, Annuity and Other Income

T4A-NR - Statement of Fees, Commissions or Other Amounts Paid
to Non-Residents for Services Rendered in Canada

Relevé 1 - Revenus d'emploi et revenus divers

Relevé 2 - Revenus de retraite et rentes

Requirements

Before initiating Magnetic Media Filing, your enterprise must meet the following requirements.

You must meet the criteria described under Requirements in the documentation of the Year End Reporting utility.

You are required to have generated TemSe files for the selected tax year, Tax Reporting Unit, and Year End form. These TemSe files are generated by the Year End Reporting utility and subsequently stored in the Year End Reporting History Log. To access that log, select the Show run history function button in the Run parameters section of Year End Reporting.

To generate Magnetic Media submissions using TemSe files, you are required to select the Produce MagMedia from TemSe option, then the Browse TemSes function button, then the TemSe file to be used for your submission.

Once you have selected the TemSe that your system will use to generate Magnetic Media submissions, you are required to enter data, where applicable, in the following drop-down sections:

Once you have entered this data, we recommend that you save your entries as a variant by selecting Goto -> Variants -> Save as variant... By doing so, you will eliminate the need to re-enter this data every time your enterprise executes Magnetic Media Filing.

Finally, you are required to specify the drive to which the system will write Magnetic Media data, as well as the maximum capacity of the file medium.

Output

Once you have met the requirements described above, execute Magnetic Media Filing. In response, the system will prompt you to insert a magnetic storage device in the specified drive. It will then write Year End data to this storage media for subsequent submission to tax authorities. If multiple storage devices, such as diskettes, are required to complete your submission, then the system will prompt you to remove the first device, then enter and remove all additional devices, until all Year End data has been written to Magnetic Media. Also, the system will prompt you to label these devices in numeric order - for example, as Disk 1 of 4, Disk 2 of 4, and so on.

Once this process is complete, you may complete the Year End Reporting process by submitting the magnetic storage device(s) to the appropriate tax authority. However, if you prefer to review your Magnetic Media submission before forwarding it to the tax authority, select the Display MagMedia file data option, then specify the number of disks of the file set, as well as its tax year. Once you have reviewed this data to your satisfaction, submit it to the appropriate tax authority.
