Purpose

You use this report to retrieve details of assets in your company and print these details on forms specified by the tax authorities in Portugal. This report retrieves both master data and transactional data of assets. The transactions associated with assets mainly include retirement (complete or partial), depreciation, and revaluation. Companies in Portugal need to report these transactions in various legal forms (Mapas Fiscais), based on the norms in the underlying edicts.

This report enables you to print the following legal forms:

  • Form 31 (includes details of retired assets)
  • Form 32 series(includes details of non-revaluated assets)
  • Form 33 series (includes details of assets revaluated based on various edicts)

Integration

Prerequisites

You have made the following settings:

  • Specified a DGCI code for each fixed asset in one of the Evaluation Groupfields in the asset master data
  • Defined depreciation areas in Customizing for Financial Accounting under Asset Accounting → Valuation → Depreciation Areas → Define Depreciation Areas
  • Defined the following settings per company code in Customizing for Financial Accounting under Asset Accounting → Special Valuation → Revaluation of fixed Assets → Settings for Mapas Fiscais Portugal:
  • Revaluation areas

  • Revaluation groups and exceptions

  • Manual values for individual assets

  • Currency revaluation coefficients

  • Transaction types for retirements

  • Depreciation foregone

  • Validation keys

  • Limits for electric and non-electric vehicles

  • Movement types for unplanned depreciation for column 16 of Map 32

Furthermore, if you have assets which are to be displayed in two maps simultaneously due to being both legal and free revaluations (ie: Map 32 and Map 33):

  • Implemented BAdI methods: FIAAPT_ADJUST_MULTIPLE_MAPSand FIAAPT_ADJUST_MULTIPLE_MAPS_ON,from BAdI definition FIAAPT_BADI_MAPAS, in order to run the report successfully.

Features

You execute this report in the following two phases:

1. Data Retrieval

During this phase, the system retrieves asset details and stores the information in memory IDs. As per the edicts issued by the Portuguese tax authorities, companies need to report the asset details in separate legal forms, based on the various transactions to which assets are subjected to. When you execute this report (for a specific company code and fiscal year), the system generates several memory IDs that store information for each type of form to be generated. The system also generates a log, which contains the following information:

  • Details of assets that are not reported in any legal forms
  • Details of the maps generated for each form
Note
The system creates separate memory IDs for test run and production run and stores these IDs in the INDX application table. The memory ID format for test run is AAAABBBB_CCCCDDDD_TEST and for production run is AAAABBBB_CCCCDDDD_PROD. The memory ID comprises of the following parts:
- AAAA = Company code
- BBBB = Reporting year
- CCCC = Map number
- DDDD = Type of asset (for example, ABAT, CORP)
When you execute a test run for data retrieval, the previously generated test memory IDs (for the same company code and fiscal year) are overwritten by the newly generated test memory IDs. Similarly, when you execute a production run for data retrieval, the previously generated production run IDs (for the same company code and fiscal year) are overwritten by the newly generated production run IDs. The production memory ID and the test run ID may or may not contain the same information. However, both these IDs are independent of each other and can be used separately to print forms.

2. Form Printing

During this phase, the system generates an output based on the data stored in the memory IDs. If you choose Test Run, the system uses the data available in the last test memory ID to generate the output; else it uses the data available in the last production memory ID to generate the output.

The following output options are available:

  • PDF
  • Spreadsheet
  • XML

Selection

On the report selection screen, select one of the following options:

  • Retrieve Data
Select this radio button to retrieve asset details based on the selection criteria that you specify in the following set of group boxes:
  • Run Type

Select the Test Runcheckbox if you want the report to store asset data in the test memory ID. If you do not select this checkbox, the system stores the asset data in a production memory ID.
  • General Selection

Specify the company code, asset number, and asset subnumber.
  • Further Selection

Specify additional parameters for asset data retrieval such as asset class, business area, cost center, plant, location, asset super number, and worklist.
  • Date Selection

Specify the last date of the fiscal year for which you want to generate the asset reporting forms.
  • Log Selection

If you select the Detailed Logcheckbox, the system generates a log that contains the following information:
- Details of assets that are not reported in any legal forms (if they are not active)
- Details of the maps generated for each form
Note
If you do not select this checkbox, the system only displays details of the maps that are generated for each form. The maximum number of entries that can be displayed in the detailed log is 2000.
  • Settings for Forms 31 -33

Specify the fiscal year and the depreciation area. In addition, you may select the following checkboxes:
- Total Revaluation (Area 01)
Select this checkbox if you want to consider the total revaluation from Area 01 (Book Area) while reporting the assets
- Homogeneous Grouping (Map 31)
Select this checkbox if you want to group the assets reported in Form 31 based on parameters such as DGCI code, Acquisition Year, Useful Life and Column 11 value.
  • Print Maps
Select this radio button to print the asset reporting forms as per the parameters that you specify in the following set of group boxes:
  • Run Type

Select the Test Runcheckboxif you want the system to generate an output based on the data available in the last test memory ID. If you do not select this check box, the system generates an output based on the data available in the last production memory ID.
  • General Selection

Specify the company code, address number, and address version
  • Date Selection

Specify the fiscal year for which you want to generate the asset reporting forms. The start date and the end date that you specify here are printed on all forms in the Form 33 series.
  • Output Selection

In the Output Selectiongroup box, select one or both of the following checkboxes:
- PDF Output
Select this option to generate a PDF output. The Number of Pagesfield indicates the maximum number of pages that a PDF file can contain. For example, if the output PDF file contains 4 pages, but you want the output to be displayed in 4 separate PDF files rather than one single file with 4 pages, you need to specify 1 in the Number of Pagesfield.
- Spreadsheet
To export the data to a spreadsheet, select the Spreadsheet checkbox, select one of the following options, and specify the relevant directory path in the Outer Folder Pathfield:
> Download to PC
Select this option to export the data to a spreadsheet on your local system.
> Download to App. Server
Select this option to export the data to a spreadsheet on the application server.

Before you specify the output type (PDF, Spreadsheet, or XML) in the Output Selectiongroup box, specify the asset type and the forms that you want to generate, in the following tab pages (below the Output Selectiongroup box):

  • Assets Forms 31-33
Specify the asset type for which you want to generate the forms. The asset types include the following:
  • Tangible assets (CORP)

  • Intangible assets (INCO)

  • Financial assets (FINA)

  • Biological assets (BIOL)

  • Investment assets (INVS)

  • ABAT assets

  • Forms 31 and 32
Select the forms (Map31, Map 32, or both) that you want to generate. The system generates output based on the option you specify in the Output Selectiongroup box. In addition, if you want to create an XML output for these forms, select the Generate XMLcheckbox in the XML Output Optiongroup box and specify a logical file name to save the file on the application server. You can only generate XML output for maps 3101, 3203 and 3204. If you select both Map 31and Map 32checkboxes, the system generates a single XML file, which includes Form 31 data followed by Form 32 data.
If you select both Map 32and Display Fully Depreciated Assetscheckboxes, and you have selected spreadsheet as the output type, the system generates a separate spreadsheet containing details of fully depreciated assets and saves this file in the file path specified in the Output Folder Pathfield.
  • Form 33
Specify the range for Form 33.
If you select the Allow for Revaluation as per Edict 36/1991 (22/1992) checkbox, the system generates the following forms as per Edict 13:
  • 3311E

  • 3312E

  • 3313E

If you do not select this checkbox, the system generates the following forms as per Edict 11:
  • 3311

  • 3312

  • 3313

Note that you cannot generate an XML output for Form 33 series.

To access this report, on the SAP Easy Accessmenu, choose Accounting → Financial Accounting → Fixed Assets → Information System → Reports on Asset Accounting → Specific Valuations → Country Specifics → Portugal → Mapas Fiscais.
