Title

Synchronize Workers' Compensation Associations (RPUBGED0)

Purpose

Table T5D32_UV (Workers' Compensation Associations) contains the payroll-relevant highest annual earnings for every workers' compensation association entered in the infotype Workers’ Compensation Association (0029). These highest annual earnings are used in the payroll to calculate the highest annual earnings that remains each month for insured persons in a workers' compensation association. To calculate this correctly, it is essential that these limits are up-to-date and that the values are correct.

The ITSG provides the AI master data file under https://download.gkv-ag.de. You use the report Import Files for Workers' Compensation Assoc. and Hazard Pay Scales (RPUBGDD0) to upload the files for workers' compensation associations and their hazard pay scales to the system. The changes are entered by report RPUBGDD0 into table T5D32_UV_S (Workers' Compensation Associations).

Afterwards, you can use this report to compare or synchronize the new workers' compensation associations saved in table T5D32_UV_S and the payroll-relevant highest annual earnings with table T5D32_UV.

If differences are determined during the comparison, it is not sufficient to change the workers' compensation associations in table T5D32_UV. There could be differences for a period for which a payroll has already been run. This means that the calculation was made at the time on the basis of incorrect remaining highest annual earnings. These differences therefore need to be corrected using retroactive accounting for the relevant employees.
In such cases, the report Synchronize Workers' Compensation Associations (RPUBGED0) automatically sets the retroactive accounting indicator in the Payroll Status (0003) infotype for the affected employees.

Selection

Use the selection option by personnel numbers only to get a quick overview of differences in the workers' compensation associations and their highest annual earnings. You do this by entering only one personnel number. In this case, do not select the Database Update checkbox.

To update the database, you need to run the report for all personnel numbers so that it can use the differences to find the affected personnel numbers and set the retroactive accounting indicator. For this reason, the system updates table T5D32_UV with the contents of table T5D32_UV_S only when all the selected personnel numbers have been processed without errors.

Using the comparison between the tables, the report determines when the earliest change to the highest annual earnings was made. Only those employees who are active after this date, who are relevant for payroll, and are subject to AI are processed.

Output

The system displays a list of all workers' compensation associations for which there were differences. It also displays the affected period, the currently valid highest annual earnings, and the previous highest annual earnings.

Note the errors and warnings that are listed under nodePerson-Specific Messages. The system also lists all the affected employees with the date of the earliest change.

The day on which an adjustment was made and the workers' compensation association (company number) for which this adjustment was made are saved in table T599U (Universal HR Tables) under the key DSVBG.

Note

The following explains how to implement the two reports:

  • Start the report Import Files for Workers' Compensation Assoc. and Hazard Pay Scales (RPUBGDD0) first in the Non-Productive Client. The report identifies the differences between the file and tables and uploads the differences from the files into the tables T5D32_UV_S and T5D32_GT (Workers' Compensation Associations Hazard Pay Scales). For security reasons, the report works in such a way that no workers' compensation associations are deleted from table T5D32_UV_S. This results in the following possibilities:
  • Table T5D32_UV_S does not contain any information for a specific workers' compensation association for a specific period. The AI file contains the workers' compensation association.

-> The report copies the workers' compensation association from the AI file to table T5D32_UV_S.
  • Table T5D32_UV_S contains information for a specific workers' compensation association for a specific period that is different from the information in the AI file.

-> The report updates the workers' compensation association in table T5D32_UV_S.
  • Table T5D32_UV_S contains information for a specific workers' compensation association for a specific period; however, the AI file does not contain any corresponding entries.

-> The report does not delete any workers' compensation associations in table T5D32_UV_S.
  • Then, start the report Synchronize Workers' Compensation Associations (RPUBGED0) in the Productive Client. The report looks for differences in the highest annual earnings and uses these as the basis for the changes to the Payroll Status infotype (0003). The report generally transfers the entries from table T5D32_UV_S and copies these to table T5D32_UV.

Troubleshooting

Before you can set the retroactive accounting date for a personnel number in the Payroll Status (0003) infotype, you need to lock the personnel number.
However, you cannot lock a personnel number in the following cases:

  • The personnel number is locked by another user.
  • The payroll area has the status Released for Payroll.

Moreover, the following errors can occur:

  • You have entered an earliest personal retroactive accounting date for the personnel number that is after the retroactive accounting date that had to be entered due to the adjustment to the workers' compensation association.
  • You have entered an earliest retroactive accounting date for the payroll area that is after the retroactive accounting date that had to be entered due to the adjustment to the contribution rate.

In all these cases the system cannot transfer the new contributions because the data in the system would be inconsistent. Resolve the error accordingly.
