RPUPAYUS_ONLINE_W2_DISPLAY - Display Online W-2 Forms

Purpose

This report enables you to display the Online W-2/W-2c forms of employees. You can view and print the online W-2/W-2c copies of employees irrespective of whether the employee elected to receive the online form.

Selection

To generate online copies, you make entries in the fields as follows:

In the Selection Criteria group box:

• Person ID: enter the employee's identification number.

• Personnel Number: you enter the personnel number used to assign to one employee, if employee has different relationships in your company.

NOTE: After you have filled in all required entry fields, you can click on the Selection Fields pushbutton to define more entries in the selection screen area.

The Personnel Area and Personnel subarea fields are filled in automatically by the program, depending on theTax Company selected;

In the Form Data group box :

• Tax Company: enter the tax company (legal entity for tax reporting) employee is assigned to

• Year: enter the year you want the system to display your online copies.

• Generation date: enter the date that forms were generated when Tax Reporter program was executed.

By default, the report selects the Display Only Latest Forms checkbox to show the latest version of the forms

In the Additional Selection Criteriagroup box:

• EE Elected for Online Form

By selecting this checkbox, it will show online forms that were elected and stored in the Online Selection (3228) infotype.

• EE Elected for Paper Form

By selecting this checkbox, it will show the online forms that were created additionally for employees that have ,,elected for paper form, as the feature UTREL was configued as FORCEONLINE X.

You can refer to the Reprint-feature in the PU19 transaction.

• Employee Has Not Elected

By selecting this checkbox, it will show the online forms of employees that did not make any election.

Standard Variants

Output

On the output screen of the report, the screen displays four different logs on the left hand side:

• Statistics- displays the number of employees processed, the number of employees with electronic W-2 and the number of employees without electronic W-2 Forms.

• Display W-2/W-2c PDF Forms - displays the PDF Forms to be shown.

To display the PDF Forms you can either select one or more employees to be displayed and then click on Display Selected PDFicon. You can also display the PDF Forms for one single EE by clicking on the Display Form icon.

NOTE: If no results are shown on the output screen, the system did not find PDF Forms to be generated.

• Person-Specific Messages - displays specific messages for each employee.

• General Messages - displays messages that indicate relevant information of the report run.

The printing of the forms is only available in the online-mode execution from the grid ALV, but not for massive ,,printing in background.

Activities

To access this report, in SAP Easy Accessmenu, choose Human Resources -> Payroll -> Americas -> USA -> Payroll -> Subsequent activities -> Period-independent -> Payroll supplement -> Display Online W-2 Forms
