Purpose

This program enables you to generate Online forms (PDFs) for previous Tax Reporter productive executions of W-2 forms. This applies if you have executed Tax Reporter for W-2 for a given period and have not run Online W-2 for that period, either because Online W-2 functionality was not active or did not exist at the time. It also enables you to generate your Online W-2 forms for new Tax Reporter productive executions of W-2 forms, if, for any reason, the Online W-2 forms were not created.

Use

By running this program, you are able to identify whether you have pending Online W-2 forms for any past or present Tax Reporter productive execution for W-2 forms, given that these executions are stored in Tax Reporter cluster tables.

Prerequisites

To be able to execute this program, the following prerequisites are required:

  • Activation of business function HCM XSS WebDynpro ABAP: Leave Plan Brazil and Online W-2 US (HCM_LOC_CI_29).
  • Activation of business function HCM XSS WDA: US Online W-2 Forced Online and One Election for All Tax Companies (HCM_LOC_CI_94).
  • Configuration of UTREL and Activate Multiple Tax Companies for W-2 Online Forms customizing options.
  • At least one productive execution of Tax Reporter (PU19) for W-2 forms.

Selection

To create/delete/display Online W-2 forms, fill in the selection-screen fields as follows:

  • In the Selection group box, you define employee's data, such as Personnel Number or Person IDs to be selected.
  • In the Form Data group box, you define the Tax Companies and years for which productive executions exist for W-2 forms.
  • In the Execution Mode group box you have a selection criteria displayed as a dropdown list. For this selection you have the following options:
  • Batch Creation of Online W-2 forms

Select this option if you want to schedule a massive background creation of Online W-2 forms.
ATTENTION: When selecting this option and running the program in background, the creation of Online W-2 forms will happen automatically to all selected forms without your prior confirmation. Thus, make sure you have confirmed the results in advance by executing Summarized Display or Detailed Displayoptions prior to this Batch execution.
  • Batch Deletion of Online W-2 forms

Select this option if you want to schedule a massive background deletion of Online W-2 forms (previously created by this tool).
ATTENTION:When selecting this option and running the program in background, the deletion of Online W-2 forms will happen automatically to all selected forms without your prior confirmation. Make sure you have confirmed the results in advance by executing Summarized Display or Detailed Display options prior to this Batch execution.
  • Summarized Display

Select this option if you want to manually select which forms to create or delete, with a summarized view based on Tax Company, Year and Employee number.
  • Detailed Display

Select this option if you want to manually select which forms to create or delete, with a detailed view, containing information about each Tax Reporter productive execution for W-2 forms.

Output

As output, this program displays all Online w-2 forms found or missing for employees. On the Summarized view, one line is shown for each employee. You can see the detail bout forms by clicking on the details button.

When running Detailed Display view, the output will have all information, including the forms. In this option, the program may show more than one line per employee.

Both ALV lists have the following fields in common:

  • Maintenance Status: Specifies whether Online W-2 forms exist or not. The statuses are:
  • Green (okay) when all related Online forms exist for this record.

  • Red (error) when at least one Online form does not exist, and the employee had elected to receive all copies as Online forms.

  • Blue (inactive) when at least one Online form does not exist, but the employee did not elect to receive them Online.

  • Maintenance Status Description: The textual description of the Status icon, as detailed above.
  • Tax company. The Tax Company code of the Tax Reporter run.
  • Tax company Description: The description of the Tax Company.
  • Year: The year of the Tax Reporter run.
  • Personnel Number:The employee's identification number.
  • Person ID, in a system where Concurrent Employment is active for HCM Payroll US

  • Personnel Number otherwise.

  • Employee Name:The name of the employee.
  • Election Type:The textual representation of the employee's Online W-2 Election:
  • None, if the employee has not performed the Online W-2 Election.

  • Paper, if the employee has consented to receive a printed copy.

  • Online, if the employee has consented to receive their copy digitally (via Employee Self-Service).

  • Display Details:Shows a button to dipslay details of forms.
  • Display Form:Specifies whether Online W-2 forms exist.
  • If it is presented as an Adobe File Icon, the Icon can be clicked to view the PDF file for that record.

  • If a gray X is presented, the Online form does not exist yet, and no file can be displayed.

On the summary view, by clicking on Details button, the program will show additionally the following:

  • Tax Reporter Form Number:The Form Number of the Tax Reporter run.
  • Tax Reporter Control Number:The Control Number of the Tax Reporter run.
  • Form Type Description:The textual representation of the Tax Form Class (W-2, W-2c, W-2 PR, W-2c PR).
  • Election Type description:The textual representation of the employee's Online W-2 Election consent:
  • None, if the employee has not performed the Online W-2 Election;

  • Paper, if the employee has consented to receive a printed copy;

  • Online, if the employee has consented to receive their copy digitally (via Employee Self-Service).

  • Sequence Number:The Sequence Number of the Online form, if it exists. It is left empty if the form does not exist yet.
  • Generation Date:The date when the Online form was generated. It is left empty if the form does not exist yet.
  • Generation Time:The time when the Online form was generated. It is left empty if the form does not exist yet.
  • W-2/W-2c Generation Method:Specifies which transaction was used to generate the Online form.
  • Tax Reporter, via a standard productive W-2/W-2c run.

  • Maintain Online W-2 Forms, when generated by the enhancement delivered by this SAP Note.

  • None, when the form does not exist yet.

Besides, the following fields are shown for Detailed view only:

  • Reporting Date:The Reporting Date of the run (hidden by default).
  • Consider results up to date:The date used in the field Consider Results up to, when Tax Reporter was executed for this run (hidden by default).
  • Tax Form Class:The Tax Form Class (A100, M100, A110, M110) of the run (hidden by default).
  • Tax Reporter Form Number:The Form Number of the Tax Reporter run.
  • Tax Reporter Control Number:The Control Number of the Tax Reporter run.
  • Form Type Description:The textual representation of the Tax Form Class (W-2, W-2c, W-2 PR, W-2c PR).
  • Election Type description:The textual representation of the employee's Online W-2 Election consent:
  • None, if the employee has not performed the Online W-2 Election;

  • Paper, if the employee has consented to receive a printed copy;

  • Online, if the employee has consented to receive their copy digitally (via Employee Self-Service).

  • Sequence Number:The Sequence Number of the Online form, if it exists. It is left empty if the form does not exist yet.
  • Generation Date:The date when the Online form was generated. It is left empty if the form does not exist yet.
  • Generation Time: The time when the Online form was generated. It is left empty if the form does not exist yet.
  • W-2/W-2c Generation Method:Specifies which transaction was used to generate the Online form.
  • Tax Reporter, via a standard productive W-2/W-2c run

  • Maintain Online W-2 Forms, when generated by the enhancement delivered by this SAP Note

  • None, when the form does not exist yet

In all execution modes, the program will display the current statistics about Online W-2 forms, according to the selection-criteria.

The following statistics will be displayed:

  • Online W-2 Forms found: Specifies the number of Online W-2 Forms generated either by Tax Reporter or by the Maintain Online W-2 Forms program.
  • Online W-2 Forms generated by Tax Reporter: Specifies the number of Online W-2 Forms generated by Tax Reporter.
  • Online W-2 Forms generated by Maintain Online W-2: Specifies the number of Online W-2 Forms generated by the Maintain Online W-2 Forms program.
  • Online W-2 Forms which do not exist: Specifies the number of Online W-2 Forms that were not generated.
  • Elected Online W-2 Forms which do not exist: Specifies the number of not generated Online W-2 Forms that should be generated.
  • Optional W-2 Forms which do not exist: Specifies the number of Online W-2 Forms that were not generated due to a non-online election.

Also, depending on the selected execution mode, the program will behave in a different way:

  • Batch Creation of Online W-2 forms
When you execute the program in Batch Creation mode, it will select all Tax Reporter productive executions for W-2 forms within the given selection-criteria, and create Online W-2 forms for all pending W-2 forms, according to the system configuration (HR Feature UTREL, Online Elections, etc.).
The program will print a spool with the updated statistics about the Online W-2 forms, messages about the operations that were executed, and an updated detailed view of all W-2 forms within the selection-criteria.
  • Batch Deletion of Online W-2 forms
When you execute the program in Batch Deletion mode, it will select all Tax Reporter productive executions for W-2 forms within the given selection-criteria, and delete the Online W-2 forms which were previously generated by this program. However, Online W-2 forms generated by Tax Reporter cannot be deleted by this operation.
The program will print a spool with the updated statistics about the Online W-2 forms, messages about the operations that were executed, and an updated detailed view of all W-2 forms within the selection-criteria.
  • Summarized Display
When you execute the program in Summarized Display, it will present a screen for manual creation/deletion of Online W-2 forms, with a summarized view based on Tax Company, Year and Employee number. This execution mode enables the user to select rows for creation or deletion, view the existing Online W-2 forms, and view detailed information about each row.
  • Detailed Display
When you execute the program in Detailed Display, it will present a screen for manual creation/deletion of Online W-2 forms, with a detailed view displaying each Tax Reporter productive executions for W-2 forms and the respective Online W-2 form, in case it exists. This execution mode enables the user to create pending Online W-2 forms, delete forms created by this program and view existing Online W-2 forms.

Activities

To access this program, in SAP Easy Access menu, choose Human Resources -> Payroll -> Americas -> USA -> Payroll -> Subsequent activities -> Period-independent -> Payroll supplement -> Maintain Online W-2 Forms
