ZHR_CAT2_WEEKLY_DATA - NGDC: Update Weekly Attendance (CAT2)

Purpose

This program updates CAT2 data for employees. The data is updated with the default (scheduled) hours, unless the employee is listed in the exception table.

Integration

Prerequisites

User defaults for amount must be set to 1,234,567.89

To set an employee to have hours other than default hours input, use transaction SM31 to maintain the exception table called ZHR_CAT2_WK_DEMO. The table has 5 input days representing Monday through Friday. Input a number 24 or less for the number of hours to be input for that employee. Any day left blank will use the default hours for that day. If a week contains a holiday, the hours in the exception table for that day will not be used; the hours will be set to zero.

Features

Selection

A logical database is used for the program, so some of the fields shown on the selection screen are defaults from the database and not necessarily applicable for this report. The following fields are the ones that should be used for this program.

1. Personnel Number: Fill with one or many numbers, or one or many ranges. To update all, leave blank.

2. Employment status: Defaults to "not equal 0". This is the recommended value.

3. Payroll area: Defaults to U.S. payroll areas (U1, UB, UW).

4. Week to update: Input the calendar week you wish to update. Only one week at a time can be processed.

5. Data Entry Profile: This program was designed to use profile ZHR_LOAD; use of other profiles may give unpredictable results.

6. Test Run: Defaults to checked. When the box is checked, a report is produced to show what hours will be input to CAT2 for each PERNR. If the box is NOT checked, the CAT2 data will be saved in the database.

7. Process Batch Input Background OR Process Batch Input Online: Chose one of the 2 radio buttons. Generally, it is better to select “Process Batch Input Background” when large amounts of data are involved. Processing online can be an advantage if there are few employees and an error message that is not easily understood. Online processing is not recommended for large volumes of data, as you will need to view each screen as it is processed and press enter to go to the next screen.

Standard Variants

There is no standard variant; instead, the screen values default to the standard selections.

Output

A report is produced of the employee numbers whose CAT2 data will be updated and any messages received during the update. If the "Test Run" box is checked, the message will read "Test only; no update." . If not a test run, the message will report any errors, or state that "CAT2 update successful." . To the right of each of the weekdays (first 5 days of the 7) there is a flag that will contain an X if the day is a holiday. This helps to explain when hours are 0 for a given day.
