Document Functions in Customs Import/Export Processing (Enhanced)

Use

Starting in Release 7.2 of SAP GRC Global Trade Services (SAP GRC GTS), you can use following functional enhancements to the document object for customs declarations and customs shipments:

  • Field control
Starting in this release, you can define which fields are visible and ready for input on the individual tab pages of the customs declaration or customs shipment. You can configure the field control dependent on the process, the activity sequence, or the activity. This enables you, for example, to reduce the possible entries by clerks to include only the fields that actually have to be filled in manually, after integration with the logistics processes in the feeder system and population through the default data.
  • Mass change for item data
Starting in this release, you can change item data for multiple items in a customs declaration or customs shipment at the same time. You can make these changes separately, without having to switch items. This lets you avoid the repeated entry of identical information for multiple items in a document, and significantly reduce the navigation for data entry at item level.
  • Extensions to existing customs declarations
When you create customs declarations for import processing based on purchase orders, you can add the document data from one or more additional purchase orders to an existing customs declaration. You can also extend the customs declaration based on inbound deliveries.
  • Switch between display and change mode
You can now switch between display and change modes without exiting a customs declaration or customs shipment. For the system to allow change mode, the processing status of the document in question must generally allow changes. The system does not allow changes when a document is blocked because you are waiting for a reply from the authorities, for example or after closing the document for archiving preparation, and keeps display mode instead.
  • Optional communication activities for printouts in the communication process
Starting in this release, you can add print activities that do not affect the process flow to your communication process. This is necessary, for example, for processes for which your authorities require an electronic message, but you want to use the options for additional form printing as well. You can use optional communication activities for these printouts. They are integrated directly in the communication process. The process continues regardless of whether or not you perform these optional activities.
  • Flexible recipient determination for e-mail notification
Flexible recipient determination lets you send attachments from received messages to one or more recipients by e-mail. This means, for example, you can send the export accompanying document or outbound endorsement directly to the carrier or person responsible. To determine the recipients for a specific business transaction, SAP GRC GTS uses the default data to find the relevant e-mail addresses. When the data defaulting rules are defined accordingly, the system can determine recipient addresses from the following sources:
  • Target value with specific e-mail address

  • E-mail address of a partner with the specified partner function

  • Distribution list

  • User for notification in the SAP Workplace

Recipient determination replaces the automatic sending of the notification to the processor of a customs declaration or customs shipment. If need be, you can still send the notification to the document processor simply by defining the employee in question as a recipient in the data proposal.
A BAdI is available to inform an individual of the receipt of an electronic message. The BAdI lets you use flexible recipient determination for the notification. The BAdI contains a sample implementation in the delivery Customizing.
  • Goods description from feeder system documents
When you create customs declarations or customs shipments based on logistics documents from the feeder system, the system copies the short text of the document item, which is saved as the goods description, in addition to the product number. As a result, the customs declaration contains the product numbers and product descriptions from the master data in SAP GRC GTS or the goods description from the feeder system for additional reference.
  • Release of guarantee amount
If you define a guarantee as a security for a transit procedure, the guarantee amount is released automatically upon receipt of the electronic transit confirmation, as well as during the manual posting of this confirmation.
  • Item references in item overview
When customs declarations and customs shipment are created based on logistics documents in the feeder system, the system creates a reference to the underlying items in the logistics documents. You can view these references by item directly in the item overview. Accordingly, the item references are no longer listed in the Reference tab page in the header of the customs declaration or customs shipment.
  • External number assignment
If you assign custom registration numbers or reference numbers to identify messages, processes, or documents in your country-specific processes, you can use external number assignment. SAP GRC GTS supports the assignment of the following numbers:
  • Number assignment for printouts: INF-2 forms for outward processing in the European Union

  • Number assignment for unique registration numbers: Identification of goods imported to the U.S. (U.S. Entry Number)

  • Number assignment for additional registration numbers that you can use for your own reference, in addition to officially assigned registration numbers: Unique Consignment Reference (UCR) in British export processing

  • Item aggregation for transit procedure in Germany
Item aggregation, which was already available for customs declarations, can now also be used for electronic communication with the customs authorities for the transit procedure. The system aggregates the document items in customs shipments using the process-relevant aggregation criteria. Item aggregation in the transit procedure makes it possible, for example, to reduce the length of the transit accompanying document that you receive automatically from the customs authorities as a response to your transit declaration, and which you have to print out for the carrier of the consignment of goods.

  • You configure the field control in the Implementation Guide (IMG) of SAP GRC GTS in the activity SAP Customs Management -> General Settings-> Document Structure-> Configure UI Control for Customs Declarations and Customs Shipments.
  • Optional communication activities
You define the optional activities for the communication process in IMG activity SAP Customs Management-> General Settings-> Communication Processes-> Define Messages for Communication Processes. You assign the messages in the next IMG activity, Define Control Settings for Communication Processesand flag the activity as Optional there.
  • Default data for e-mail notification
To use recipient determination in the default data, you have to configure the data defaulting procedures for e-mail notification. Use the following IMG activity: SAP Customs Management-> General Settings-> Procedures for Defaulting Data-> Define Default Data for E-Mail Notification
  • External number assignment
If you want to use external number assignment, you have to configure the following settings in Customizing:
  • You can define separate control settings for the assignment of registration numbers and additional registration numbers. To do so, activate number assignment at the Activity Sequencelevel in the following IMG activity: SAP Customs Management-> General Settings-> Communication Processes-> Define Control Settings for Communication Processes.

  • You can define the control settings for external number assignment for printable forms in the customs code list for the type of previous document/document/certificate. To do so, configure the Form Number (Header) as the Type of Document in IMG activity SAP Customs Management-> General Settings-> Customs Code Lists-> Maintain Customs Code Lists for Legal Regulation.
