Indirect Quotation Exchange Rates

Scope of Functions

In future all R/3 applications and functions will process exchange rates using the indirect quotation as well as the direct quotation method.

Whether the exchange rate is defined or communicated using the direct or indirect method of quotation depends on the market standard or the individual business transaction. The use of indirect quotation is neither application nor country-specific; it affects all the components in which exchange rates are used. This applies to the user interface, to the integration within the R/3 System and to any communication with external systems.

If exchange rates are used in the following areas, the indirect quotation method has an effect on these:

  • Functions and format within the R/3 System
  • Table of exchange rates (table TCURR)
    The interface for maintaining exchange rates (transaction OB08) has been given a new design. For each entry you can now enter an exchange rate according to the direct or the indirect method of quotation.

  • User interface
    The input and output of direct and indirect exchange rates usually occurs via the field that was previously used exclusively by direct exchange rates. This means that you must differentiate between direct and indirect exchange rates. In Customizing you can define different prefixes for the two quotation methods. If you are unsure about the existing quotation or about which prefix to use, you can call up possible entries (F4 key) to assist you when making manual entries.

  • Batch input
    The standard batch input functions have been adjusted to deal with the processing of indirect quotation exchange rates.

  • Internal format
    To differentiate between direct quotation exchange rates and indirect quotation exchange rates the latter are stored in the database with a minus sign.

  • Internal R/3 interfaces and communication with external systems
    If exchange rates are intended, then the direct quotation method is also supported. For these interfaces structures are usually used that are not based on a database. In this case separate fields are offered for the direct and indirect exchange rate quotations.
    To guaranteee consistency and the greatest possible compatibility, there is an SAP standard convention for the use of these fields. In the case of outgoing information, the direct quotation exchange rate is always displayed. Only if the exchange rate originally existed using the indirect quotation method is the field for indirect quotation exchange rate also filled. For incoming information, the indirect quotation exchange rate is used if it exists. If not, the direct quotation exchange rate is used.
  • Internal interfaces
    Note in particular the interfaces that contain customer-specific elements: User Exits, Business Transaction Events, modifications and customer developments.

  • Communication with external systems (ALE, EDI, BAPI and other interfaces containing exchange rates)

Note:
Even if you do not edit the currency Customizing, you must be aware that indirect quotation exchange rates will be created in the system; e.g. an indirect quotation exchange rate can be set automatically from the exchange rate table. To avoid this having undesired effects on the interfaces, all the relevant interfaces must be checked and possibly adjusted before production goes live. These are interfaces that contain exchange rates and are made up totally, or partially, of external (non-SAP) components. This also includes internal interfaces: User Exits (e.g. for processing bank account statements) and Business Transaction Events.

Effects on Existing Data

The old (direct quotation) contents of the exchange rate fields remain unchanged. The newly entered contents of the exchange rate fields can be direct or indirect quotation exchange rates. To differentiate between direct and indirect quotation exchange rates the latter are stored in the database with a minus sign.

Effects on Data Transfer

Indirect quotation exchange rates can also be used for data transfer. Customer-specific transfer and interface programs must be checked. If necessary programs must be adjusted.

Effects on Customizing

In the Implementation Guide (IMG) there two new activities under General Settings -> Currencies:

  • Enter prefixes for direct/indirect quotation exchange rates
  • Define standard quotation for exchange rates

We recommend that you carry out both these activities but they are not absolutely necessary. If you do not make these settings in Customizing,

  • direct quotation exchange rates are handled as in earlier releases
  • indirect quotation exchange rates can still be processed
Note:
Customizing is not to be used as a switch, using which the use of direct or indirect quotation exchange rates can be switched on or off. In addition many R/3 functions can set the exchange rate in the background from the exchange rate table (TCURR). If an exchange rate has been entered here using the indirect quotation method, it will also be transferred as an indirect quotation. You must therefore check whether a manual or automatic processing for indirect quotation exchange rates has been set. Adjustments may be required in particular for customer-specific functions and interfaces.
