Project Documentation for R/3 Implementation Projects

Description

With Release 3.0C you can save documentation of your company processes and structures and project management documentation in SAPoffice. This is in addition to your system settings documentation in the IMG, and means you can administer and work on all the various elements that you create as you implement your R/3 System in an integrated fashion in the R/3 System itself.

There are three main types of project documentation:

  • The documentation of your company processes and structures, which is based on the R/3 Reference Model (your Conceptual Design)
  • Your system settings documentation in the IMG
  • Project management documentation

Three tools are provided. They are used in combination.

  • The Business Navigator
  • used for displaying graphical models, for example.

  • SAPoffice
  • used for working on and saving all texts and graphics you create in the course of your project work. There are several PC editors you can use in SAPoffice, such as MS Word, MS Excel, MS PowerPoint, Lotus ScreenCam and others. You also have the full functionality of SAPoffice Mail at your disposal. This makes it easy to organize your information in folders. You can use distribution lists to share and exchange documentation with members of the project team. Everyone working on the project can always access the latest information.

  • IMG:
  • used to document your system settings, in the form of Notes, for each configuration activity (Customizing transaction). You can choose either SAPscript or MS Word as your text editor.

You can go to the folder where all text descriptions of a process or function are held in SAPoffice, directly from the processes and functions in the Business Navigator. There is also a direct link from the business application components (to which the processes and functions are assigned) to your Project IMG and into the configuration activities and their associated Notes.

As you work through the implementatation process you generate a number of different kinds of project administration documentation. These may include:

  • project status reports,
  • minutes of meetings,
  • project standards,
  • external documentation,
  • general unresolved questions,
  • system problems or errors,
  • collected defined interfaces you will create,
  • collected defined enhancements you will create,
  • other documents.

You can also collect, administer and work with these types of documents in a SAPoffice folder for each project, and distribute them to members of the project team.

Technical Notes:

A folder structure is generated for you in the shared folders section of SAPoffice under 'R/3 Implementation'. You can use this for managing and processing all documents you create in the course of your project work. The structure is generated automatically at the same time as your Enterprise IMG and Project IMGs. You can add to the structure or adapt it as you wish.

In order to simplify the maintenance of the individual documents, the system issues a prompt asking you if you want to create a folder structure under a 'Components' node in SAPoffice when you create/change the Enterprise IMG.

When the system asks you to confirm, the role of the client is checked in the client table for the value 'Customizing'. You can only proceed if you are in the Customizing client, which ensures that the client folder structures are created in the client where you do your project work. The structure generated contains the selected business application components and their processes. This structure can be used throughout the Customizing project.

Business application components subsequently deleted when you select components for your Enterprise IMG are also reassigned in the SAPoffice structure to a 'Deleted' folder.

When you create individual Customizing projects, a structure is generated for each Customizing project under the 'Shared' node.

Navigating in the R/3 System

There are several ways of accessing the folder structure:

1. From the Procedure Model by clicking the Project documentation button.
2. From the Customizing menu by clicking the Project documentation button.
3. From the Component view in the Business Navigator
4. Directly via the SAPoffice initial screen

In Release 3.0C, templates are supplied in the form of DOT files (WinWord templates) for the following documentation objects:

  • Template for process descriptions
  • Template for the documentation of system settings
  • Template for review points
  • Templates for enhancement description/interface description

The forms are stored automatically at upgrade/first installation in the SAPGUI 'IMGTMPLT' directory on all R/3 Desktop PCs.

Depending on the installation language, the German or English templates are installed.

This is how you access and use the templates:

  1. You open a SAPoffice folder.
  2. You create a new 'DOC' document for the template.
  3. In WinWord you add the document you require as a file in the SAPGUI 'IMGTMPLT' directory and save the document.
  4. You can now use this document in SAPoffice as a template for other documents.

Notes:

The folders in SAPoffice are client-specific whereas both the Business Navigator and the Implementation Guide are cross-client tools. The folders are created in the client that you are in when an IMG is generated. Consequently, different clients can have different folder structures. The documents created in one client can only be accessed in that client.

Each folder and document exists only in one language. It is not possible to create a folder with titles in different languages. Folders created in any language can be displayed regardless of your logon language.
