Appointment Calendar Enhancements, New PC Calendar

Description

PC Calendar

In addition to the R/3 interface of the appointment calendar, there is also a PC calendar that you can call from the R/3 System by choosing Office --> Appointment calendar --> PC calendar.

This calendar is an independent Windows program that communicates with the R/3 appointment calendar by RFC. Data is retained centrally in the SAP System.

You can operate the PC calendar offline with a local database by starting it on the local PC as a Windows program. The calendar is always used online without the local database.

Appointments from a time frame can be loaded into a local database and changed offline. New appointments can also be created offline. The next time you log on to work online new and changed appointments can be copied from the local database to the R/3 System. The appointments are then deleted from the local database.

Substitute Maintenance

Authorization for maintaining the calendars of a group of employees or of a distribution list can be given to individual users centrally. Authorization for maintaining the appointment calendars of all the employees in a cost center can be given to a secretary, for example. To reach the transaction, choose Tools --> Administration; Administration --> Process technology, Appointment calendar --> Substitute maintenance. Administration authorization for SAPoffice is required for substitute maintenance.

Enhancements

The R/3 appointment calendar has been enhanced by the following points:

1. Up until now, the three monthly overview has always been displayed in the upper screen area. It can now also be displayed in the lower screen area. Each user can preset whether the three monthly overview is to be displayed at the top or bottom of the screen under View --> User constants or they can make this setting for the duration of a session only under View --> Display period.
2. The print function has been enhanced. The following overviews can be printed:
1. Daily overview
2. Weekly overview (either in landscape or portrait format)
3. Twelve weekly overview (overview of dominants, appointments are displayed as '*')
3. You can define whether a substitute is to be activated for the duration of an appointment or dominant. This setting is used for workflow.

Software/hardware requirements

The PC calendar is only available under Windows.

Installation information

Effects on System Administration

If the PC calendar is to be used, the profile parameter gw/cpic_timeout must have at least the value 120.
