Quotations in CRM

Use

As of Release 2.0C, you can enter quotations in the CRM online system.

The business function for a quotation is found at item level for a business transaction. It is only indicated as a quotation by the system status Quotation. A business transaction can contain services or sales order items, in addition to quotation items.

A quotation can become a sales order in two different ways:

  • You change an entered quotation to a sales order by pressing a pushbutton. The quotation then does not remain as a separate document.
  • You create a sales order with reference to a quotation. See also the Release information Copying in Business Transactions. Two documents (quotation and sales order) remain.

The quotation is completed:

  • automatically when the validity is exceeded
  • when the quotation is changed to a sales order
  • when a quotation is copied to a sales order
  • or when the customer cancels.

A quotation can be subject to an approval procedure. When you save a quotation in the status "For release", which, for example, exceeds a specific value, a workflow is triggered which results in the transaction arriving in the workplace of the approving administrator. Sales probability

The sales probability indicates the probability of the sales order. It is used for calculating the expected total net value in the dynamically cumulated document data. Sources for sales probability are:

  • The general sales probability for a quotation item, defined in Customizing for the item category
  • Manual entries in the quotation

Validity

The validity data can be created automatically from the date profile defined for the quotation. It can also be entered manually in the transaction item.

Alternative items

Items for a quotation can be combined to groups, from which the customer can decide on an alternative. When copying or moving to a sales order, the transaction remains incorrect of more than one of the items for selection are copied.

Actions

Quotations can be linked toactions, that is, you can, for example, specify that a quotation is automatically completed once the validity has expired, or that the follow-up action "Create Business Activity" is triggered shortly before the validity expires. See also the Release information

Note

The quotation is not a new business transaction category, but it has the business transaction cataegory for the transaction item into which it should be converted.

An ATP check in quotations is necessary. See the Release information Integration of CRM and APO-ATP: New and Enhanced Functions

The quotation is not transferred into the R/3 OLTP System.

It is only possible to convert a sales order to a quotation if the transaction has not yet been transferred into the R/3 OLTP System, or if the distribution block was set.

Inquiries

The customer inquiry whether specific goods will be sold to him at a price he has requested, is displayed in CRM by the new system status Inquiry. An inquiry is not transferred into the R/3 OLTP System either. An inquiry can be copied or converted into a quotation.

In Release 2.0C, it is not possible to combine quotation processing in CRM Online with Mobile Sales.

There are several fields for controlling the quotation process in sales-specific Customizing for the item category. In the IMG, choose Customer Relationship Management → Transactions → Basic Settings → Maintain Item Categories.
