Archiving (Changed)
Use
As of SAP Supplier Relationship Management4.0 (SRM) the archiving application contains enhanced functions. These enhancements are mainly based on increasing the types of SRM Server documents that can be archived. There is now also a display function that enables you to read the data of archived documents. This function is integrated in the interface of the search function for the respective document types.
The functional basis of the SRM archiving function remains the standard SAP
Archive Development Kit (ADK).
The Archive Information System (AS) is used to read the documents.
Rereading Archived Documents
From the document search screen, you can search for archived documents, list them, and read them from the archive.
In the Extended Search view, you can - in addition to the Search in System option - choose an archive information structure (AIS) from the drop-down box, using which the system reads the archived documents. Note that the archive info structure must have been activated in Customizing beforehand.
The search criteria* of the Find Archived Document screen have been changed. The archived documents are listed in a simplified results list - you can access the detail screen of the document via the Display Archive Document symbol.
* The search criteria are transferred to the AIS beforehand from the Field Catalog. See below under Customizing.
As of SRM4.0, the following additional documents can be archived:
- Bid invitation
- Auction
- Bid
- Contract (CTR) and global outline agreement
(change versions cannot be archived)
- Purchase order response
- The customer field values are archived with the document. It is possible to reread these fields; however they cannot be used as search criteria. This is because they are not transferred from the field catalog to the AIS.
- There is no version comparison function in the detail screen of archived documents.
- The data that is read from archived documents cannot be reloaded into the active documents - only displayed.
BAdI BBP_ARCHIVING_BADI (Archive SRM Documents)
This Business Add-In (BAdI) enable you to specify which documents are for archiving. In the case of customer table, you can specify which additional tables are archived and subsequently read, as well as which entries from original documents can be deleted from the database once they have been documented.

You must activate the archive information structure in the Implementation Guide (IMG) for Supplier Relationship Management -> SRM Server -> Cross-Application Basic Settings -> Document Archiving -> Activate Archive Information Structure
