Description

Standard reports

Release 3.0 contains new standard reports and additions to old ones. The library used is still 8A2.

Generally speaking, you can divide the standard reports into four groups:

  • The profitability reports display the total profits for the selected profit center. The totals are not broken down any further into revenue and cost elements. Typical reports belonging to this category are the plan/actual comparisons and period breakdown reports (report groups 8A2A and 8A2B). These reports provide you with a quick overview and serve as a starting point for the other report types.
  • The group reports break down the profits of a profit center group according to the selected revenue and cost elements. Some of the reports (such as 8A26) also display selected balance sheet items, such as fixed assets, current assets and liabilities, and key figures calculated on the basis of these (return on investment, working capital). These reports let the person in charge of the profit center analyze his or her area of responsibility in more detail. Typical reports include the plan/actual, actual/actual, plan/plan and quarterly comparison reports (group 8A23, 8A26, 8A27, 8A28, 8A29, 8A2C or 8A2D). These reports also allow you to vary your selection.
  • In addition, the profit center reports display the profit centers broken down and summarized by profit center group. Report groups 8A20, 8A21, 8A22 and 8A25 are typical of this type.
  • The revenue and cost element reports represent a special case in Profit Center Accounting where the postings for each revenue or cost element are broken down by profit center (report group 8A24).

You need to import these reports from client 000 to your other clients (see Import reports in the Implementation Guide).

Online documentation is delivered with each of the standard reports. This contains important additional information about the reports (such as the parameter IDs). You can call up this documentation from the report list or from the selection screen under "Extras -> Documentation".

New user interface

As of Release 3.0, you can call up the Report Writer reports for Profit Center Accounting from a new screen which allows you to bypass the old selection screen for Report Writer reports.

The new user interface has the following advantages:

  • improved and expanded entry validation
  • F1 help and "Possible entries" functions available for fields
  • less complicated than the previously used selection screens for Report Writer reports

Report list and reporting tree

There are two ways you can choose a report in Profit Center Accounting:

  • The report list contains all of the available reports (standard reports and user-defined Report Writer reports for Table GLPCT). You can choose the desired report directly from this list. You can maintain this list using the function "Information system -> Report list" in Customizing. It is also possible for each user create his or her own personal list from the reports chosen in Customizing. This is done using the function "Create user list" on the new selection screen. The user can select and sort these reports by assigning numbers to them. Once you have created your user list, you receive this list instead of the whole list when you choose "Select report" from the menu. From there, the function "Whole list" takes you to the whole list. If you have not created a user list, you receive the entire list when you choose "Select report". see Report list in the Implementation Guide).
  • In addition to the report list, you can also choose reports from a hierarchical Reporting tree. You can add the standard reports, Report Writer reports, ABAP/4 programs and transaction codes to this tree. The EC-PCA online manual provides a detailed explanation on how to maintain the reporting tree ("Utilities -> Online manual").

You can define in Customizing whether your users should use the reporting tree or the report list (see Reporting tree in the Implementation Guide)

If you have user-defined Report Writer reports for Profit Center Accounting in your company, you need to convert these to the new summary record table GLPCT for Release 3.0. The release note EC-PCA: Changes in Customizing explains how to do this in detail.

In addition, you should change your reports as follows in order to take advantage of the new capabilities of the tables:

  • As of Release 3.0 only one fixed profit center ledger exists for all controlling areas. Enter set 8A-RLDNR in the general data selection for all of your reports. This set contains the profit center ledger '8A' as a constant.

You also need to change the actual version from 1 to 0, otherwise the system cannot select actual data in Release 3.0.

  • The key for transaction data now contains the controlling area in addition to the company code. If you want to select the data for your reports using the controlling area, you need to use the set 8A-KOKRS in the general data selection instead of the company code set. Set 8A-KOKRS contains a variable which asks the user to enter the controlling area when he or she selects the report data (parameter ID CAC).
  • A few changes needed to be made in the elimination of internal business volume. The field which corresponds to the profit center (GLPCT-RPRCTR) is now the so-called "elimination profit center" (field GLPCT-EPRCTR). If you eliminate internal business volume for the profit centers in your reports, you now need to use the characteristic EPRCTR in your reports. The easiest way to do this is to add the set 8A-EPRCTR to the general data selection in your reports. You also need to check off the flag "Elimination of internal business" for the characteristic "Profit center" (RPRCTR).
  • The transaction data are now divided according to their origins. The origin is stored in the field RHOART. Set 8A-FIXED-CAP contains the characteristic values for the balance sheet items which are transferred to Profit Center Accounting (fixed assets = 22, current assets = material stock (19) + work in process (23) + receivables (24)). Set 8A-NONSTOCK contains the origin indicator for revenue postings and primary and secondary cost postings divided according to the various objects (profit center, cost center, order, and so on). See the standard reports in report group 8A26 to see how this indicator is used.
